About You:
Pieper Memorial Veterinary Center is seeking a dedicated and skilled Department Support Manager to work in partnership with the hospital’s Department and Directors to provide consistent administrative, human resource, scheduling, and staff management support. This role is designed to strengthen department operations by assisting managers in the daily oversight of people and processes, ensuring smooth workflows, and helping to implement hospital-wide policies and initiatives. The Department Support Manager may also lead special projects assigned by Directors to advance hospital priorities.


The ideal candidate is a collaborative team player who actively supports and enhances the work of department managers. They are highly detail-oriented, with strong follow-through on tasks and projects, and can maintain confidentiality while handling sensitive staff matters with professionalism. Flexibility and adaptability are essential, as this role requires responding to evolving hospital and departmental needs. A proactive problem-solver, the candidate brings a supportive, service-oriented mindset and demonstrates the ability to effectively organize, coordinate, and lead projects through to successful completion.


Key Responsibilities: 

  • Partner with Department Managers to assist with staff scheduling, coverage coordination, and time-off approvals to ensure adequate department staffing.
  • Provide support in onboarding, training coordination, and employee documentation in alignment with HR and hospital standards.
  • Assist managers in monitoring staff compliance with hospital policies, performance expectations, and credentialing/training requirements.
  • Help prepare and maintain administrative records, reports, and departmental communications.
  • Serve as a liaison between managers, staff, and Directors to promote consistency and alignment across departments.
  • Support managers in employee engagement initiatives, coaching conversations, and follow-up documentation.
  • Assist with department meetings, including preparing agendas, capturing notes, and following up on action items.
  • Contribute to process improvement by identifying opportunities for efficiency and consistency in scheduling, communications, and administrative workflows.
  • Lead and coordinate special projects assigned by Directors, ensuring timely execution, communication, and successful outcomes.
  • Provide backup leadership support to managers during absences as assigned.

Anticipated Schedule:
This is a Full-Time position.  
Weekends and Holidays are required.


Compensation:

Pay range starts at $70,000-$80,000 based on experience.

Requirements

  • Bachelor’s degree in business administration, healthcare management, or related field preferred; equivalent experience considered.
  • 3+ years of experience in healthcare administration, office management, or people operations preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal skills to foster collaboration across departments.
  • Experience with scheduling systems, HRIS, and Microsoft Office/Google Suite.
  • Knowledge of HR processes and best practices in staff management is strongly preferred.
  • Must be 18 years or older to apply.
