JOB SUMMARY:

Manage and coordinate employee benefits including open enrollment. Responsible for helping employees enroll in company benefit programs. Duties include meeting with employees to discuss their benefit options, keeping detailed records of employee insurance information and overseeing the enrollment process.

· Manages benefits administration for all employees, including health, dental, vision, life insurance, FSA/HSA, 401(k), and COBRA.

· Coordinates the Annual Open Enrollment process, including scheduling meetings, preparing presentation materials, managing the ADP Open Enrollment module, and responding to all employee inquiries.

· Updates ADP and carrier sites with benefit elections for new hires, terminations, and mid-year changes; ensures accuracy across systems.

· Audits employee benefit selections and ensures timely upload of bi-weekly deductions (e.g., FSA, HSA) to carrier portals.

· Audits monthly carrier invoices, resolves discrepancies with vendors, and prepares reports for internal reconciliation.

· Manages all benefits-related correspondence with insurance carriers, brokers, and state agencies; ensures compliance with deadlines and required documentation.

· Processes benefit-related changes in ADP, ensuring data integrity and timely updates.

· Supports 401(k) plan administration, including enrollments, deferral changes, and terminations.

· Handles COBRA reporting for termed employees and ensures compliance with federal requirements.

· Assists employees with benefits-related questions and provides guidance on plan options and eligibility.

· Coordinates closely with the Accounts Payable team on monthly benefit invoice processing and reconciliation.

· Processes bi-weekly payroll in accordance with local, state, and federal regulations and company policiesensuring accuracy of hours, deductions, and benefit elections.

· Reviews and audits payroll reports prior to submission and resolves any discrepancies.

· Responds to employee inquiries related to pay and deductions in a timely and professional manner.

· Assists with new hire background checks, including initiating screenings, tracking progress, and communicating status with hiring managers and HR.

· Provides general administrative support, including document scanning, filing, and organizing department records.

· Assists Payroll Supervisor, Manager, and Director with additional projects and tasks as assigned.

EDUCATION AND/OR EXPERIENCE:

 

  • High school graduate or equivalent.
  • AA Degree
  • 5 years of experience working in human resources or payroll department, with at least 6 months of training in HR/payroll procedures and benefits administration.
  • ADP Workforce Now experience preferred.
  • Intermediate Microsoft Outlook, Excel, and Word user.
