Job Overview:

The Massachusetts Clean Energy Center (MassCEC) seeks a motivated, detail-oriented Program Administrator (PA) to join the Emerging Climatetech division. This role offers an exciting opportunity to support Massachusetts’ progress toward its 2050 net-zero emissions goals by helping climatetech innovators—early-stage researchers, startups, and incubator/accelerator programs—bring new technologies to market. 

The Emerging Climatetech division leads MassCEC’s efforts to foster climatetech innovation and entrepreneurship. Within the Emerging Climatetech division is the Technology-to-Market (T2M) team, which this role will primarily be supporting. The T2M team manages grant programs that support early-stage technology development, commercialization, and ecosystem-building. The grant programs include: the Innovation Ecosystem Program, Climatetech Testing and Demonstration Assets Program, Massachusetts Climatetech Studio, AmplifyMass, Catalyst/DICES, InnovateMass, and CriticalMass.

 

Position Summary 

Early-Stage Grant Programs:

Reporting to the Program Manager, the Program Administrator will provide critical administrative coordination and stakeholder support across the team’s Early-Stage Grant Program suite (Catalyst/Diversity in Climatetech-Early Stage and AmplifyMass). This role requires a proactive problem-solver with strong organization and communication skills, and attention to detail and motivation to learn about leading climate solution science.

Key Responsibilities:

Program Administration & Coordination:

  • Coordinate day-to-day operations of the Technology-to-Market grant programs, primarily the Early Stage Program suite, to ensure timely and efficient delivery;
  • Review applications for compliance with program requirements; manage application queues and track submissions;
  • Record and maintain awards and invoices in the award management system, support project teams in monitoring contracts and awards; ensure project and contract integrity and track results;
  • Maintain detailed databases and supporting files, including program tracking documents, business records, and performance metrics; ensure proper processing and archiving;
  • Identify potential issues early and work collaboratively with Program Managers and internal teams (Finance, Legal, senior management) to resolve them promptly;
  • Take notes during internal grant committee meetings, summarizing key decisions and outcomes for follow-up reporting;

Stakeholder Engagement:

  • Serve as the primary point of contact for applicants, awardees, and other stakeholders; provide timely responses to inquiries;
  • Coordinate program communications, working with the communications team to update program information on the website, newsletter, and LinkedIn;
  • Support planning, coordination, and hosting stakeholder events, including webinars, quarterly pitch events, site visits, and industry convenings (travel may be required);

Program Development & Process Improvements:

  • Support program development efforts, including conducting research, assisting with stakeholder outreach, drafting program requirements, and managing development schedules;
  • Assist with onboarding, training, and supervising Technology-to-Market fellows;
  • Continuously evaluate and refine administrative processes, workflows, and tools to improve program efficiency and support evolving program needs;


Position Qualifications:

Education:

  • Bachelor's degree, preferably in energy or environmental science/studies, economics, business management or a related field;

 

Experience:

This is an entry-level position. 

  • At least one year of experience in project administration or other relevant position is a plus;
  • Experience in the public sector, renewable energy industry, environmental sustainability, or grant administration is a plus;
  • At least one year of experience using Microsoft Excel, Word and Outlook in a work setting is a plus;

 

Knowledge, Skills, and Abilities:

  • Rigorous attention to detail;
  • Excellent interpersonal, diplomatic, and verbal/written communication skills, including with high volume/customer service assignments;
  • Well-developed and proficient organizational skills;
  • Demonstrated ability to manage multiple priorities effectively;
  • Demonstrated ability to get up-to-speed quickly and work independently; 
  • Excellent quantitative, research and analytical skills;
  • Excellent problem-resolution skills, and demonstrated ability to make informed decisions;
  • Team-first attitude and the capacity to be flexible in a dynamic work environment;
  • Demonstrated ability to work with internal and external stakeholders, and cultivate appropriate relationships;
  • Working knowledge of basic accounting and payment processing (budgets, invoices, etc.) preferred;
  • Ability to read and absorb complex contracts, polices, rules, etc. and extract the information needed to ensure compliance with each; and
  • Experience with databases / large data sets.
