Job Title: Operations Coordinator
Reports To: Chief Operating Officer
Classification: Regular, Part-Time, Non-exempt
Schedule: Monday - Friday: 5 hours each day

Summary

We are seeking an Operations Coordinator to support our team in providing a welcoming and compassionate environment for families in need. This role is a perfect fit for a highly organized individual with a strong eye for detail and the ability to multitask effectively. You will be a key point of contact for families, collaborating with multiple teams to ensure their stay is as seamless as possible. You must be able to communicate on both a highly professional and compassionate level, balancing administrative tasks with the sensitivity required to work with families facing challenging circumstances.
Requirements
Primary Responsibilities
Family Placement Support
- Coordinate daily guest communication needs with the Family Placement Manager.
- Update and maintain the First-Time Guests list to ensure timely service and information is provided.
- Collaborate with the Family Placement and Billing teams to ensure the timely creation of Notices of Arrivals and invoicing for Medicaid.
- Coordinate arrivals with guest services staff to ensure a smooth check-in process for all families.
Operations Support
- Assist in tracking key impact measurements and organizational goals by helping to prepare reports.
- Help coordinate logistics for facility maintenance or improvement projects.
- Support HIPAA audits and compliance, performance reviews, and staff trainings by maintaining essential documentation.
Other Duties
- Maintain proficiency in the guest registration process to serve as a backup for checking families in and out.
- Develop a working knowledge of the referral and intake process to provide backup coverage for the Family Placement team as needed.
- Participate in team meetings to stay current on all House policies and practices.
