POSITION OBJECTIVES:
LiveTrends Design Group is where creativity meets nature—and we’re looking for an organized, proactive Office Administrator to keep our vibrant workspace running smoothly. Reporting directly to the General Manager, this role supports day-to-day operations, coordinates office activities, and ensures seamless experience for staff, visitors, and vendors.
Requirements
- Provide direct administrative assistance to the General Manager
- Manage calendars, schedule meetings, and coordinate internal communications
- Handle incoming calls, emails, and correspondence with professionalism
- Maintain office supplies, equipment, and vendor relationships
- Ensure the workspace reflects LiveTrends’ creative and clean aesthetic
- Organize company documents, records, and filing systems
- Greet and welcome guests, clients, and vendors upon arrival
- Ensure visitors feel comfortable and directed to the appropriate team member
- Maintain a tidy and inviting reception area that reflects LiveTrends’ brand
- Assist in preparing reports, presentations, and internal memos
- Track office expenses and support basic budgeting tasks
- Maintain accurate logs for inventory, deliveries, and office usage
- Performs backup duties for Production Administrator, ERP Production Analyst and additional duties as assigned.
SPECIFIC SKILLS
- 3+ years’ experience in office administration or related field
- Associate’s degree preferred, Business Administration
- Proficiency in Microsoft Office; ERP systems a bonus
- Strong organizational, leadership, and communication skills
- Bilingual (Spanish) preferred
- Ability to thrive in a fast-paced environment
