Position Overview:

We are seeking a detail-oriented and highly organized Donor Services Specialist to join our Resource Development (RD) team. This role is critical in supporting our fundraising efforts by ensuring the accuracy and efficiency of gift agreements, donor information, and data analysis. As a key liaison between the gift processing and fundraising teams, the Donor Services Specialist ensures smooth coordination, data integrity, and timely communication across departments. The ideal candidate will be comfortable working with multiple data systems and sources and will have a strong commitment to quality and service.

Key Responsibilities:

  • Gift Agreement Management: Generate and distribute gift agreements to donors via DocuSign, ensuring timely and accurate delivery.
  • Team Liaison: Serve as the operational bridge between gift processing and fundraising teams, streamlining communication and workflows.
  • Donor Data Analysis: Pull and analyze giving data for selected donor accounts, delivering actionable insights to support fundraising strategies.
  • Pledge and Invoice Oversight: Prepare, review, and send pledge reminders and invoices to donors to ensure timely fulfillment.
  • Information Requests: Respond promptly and accurately to internal and external requests for donor and gift-related information.
  • Quality Control: Perform regular audits of processed gift data to ensure completeness, consistency, and alignment with campaign goals.
  • Contact Management: Maintain and update donor records, ensuring data integrity across CRM and other platforms.
  • Pipeline and Report Management: Support pipeline tracking and pull regular reports to assist fundraising and leadership teams.

Job Qualifications, Education & Experience


Qualifications:

  • Exceptional attention to detail and strong organizational skills.
  • Prior experience in gift processing, data management, or fundraising operations.
  • Proficiency in CRM systems, DocuSign, and Excel; comfort working with multiple data platforms.
  • Strong communication and interpersonal skills with the ability to work cross-functionally.
  • Analytical mindset with the ability to interpret donor data and uncover trends.
  • Self-starter with a proactive, solution-focused approach and the ability to manage multiple priorities and deadlines.

 

Education: Bachelor’s degree preferred, ideally in nonprofit management, business administration, communications, data analytics, or a related field. Equivalent work experience will also be considered.

 

Experience:

  • 2–4 years of relevant experience in operations, fundraising support, donor relations, or data management.
  • Experience in nonprofit operations is preferred.
  • Familiarity with donor databases or CRM systems (e.g., Microsoft Dynamics, Salesforce, Raiser’s Edge) is highly desirable.
  • Proficiency with tools such as DocuSign, Excel, and data reporting platforms (e.g., Power BI) is a plus.
