Supervises:    Operations and Logistics Coordinator

Primary Responsibilities:

The Conservation Department Program Operations Manager coordinates and oversees the implementation of projects, initiatives, and programs by managing logistics, budgets, and regulatory requirements; supporting grant applications and reporting; and facilitating contracts, cooperative agreements, and partner access. The position ensures contractors and partners meet performance standards, tracks progress toward project outcomes, and maintains effective communication across staff, partners, and agencies. The Operations Manager also supervises staff responsible for equipment, vehicles, procurement, billing, safety compliance, and other administrative systems, ensuring that departmental operations run efficiently and in alignment with organizational priorities.

Responsibilities

Essential Duties

  • Lead and facilitate implementation and administration of a broad variety of projects within the Conservation Department.
  • Facilitate the success of projects of Department programs and external partners on Lānaʻi. coordinate travel and field work logistics, partner and contractor coordination, and monitor progress for multiple complex and rapidly changing projects to bring them to completion. 
  • Facilitate logistics of partner projects, including access agreements, travel and scheduling, and field work coordination.
  • Ensure contractors and partners are meeting performance standards, contract/permit conditions, and established outcomes. 
  • Manage material procurement and budget tracking for specific projects.
  • Coordinate workflows and communication between Department managers and staff, other company employees, contractors, and partner organizations working on their own projects to facilitate safety and resource coordination.
  • Assist in the preparation of grant applications and prepare progress, job completion and other reports as required and in support of the Department. 
  • Assist in writing, review, and administrative processing of cooperative agreements, access agreements, and contracts between the Department and other agencies and private organizations, as these cooperative agreements pertain to specific conservation projects.
  • Assist with compliancewith regulatory requirements and permits for conservation projects; prepare applications and required reporting documents.
  • Use discretion and independent assessement in interactions and decisions with internal and external partners.
  • Conduct internal and external communications within the company, with partner organizations, and with community and visitor audiences about conservation and natural resource issues. 

  • Supervise staff managing and tracking program assets (e.g. equipment), ensuring compliance with applicable labor and safety related protocols, tracking and managing department vehicles, purchasing, billing, and invoicing, and additional administrative support.

  • Support operational planning to help establish efficient systems to meet program needs.

  • Perform other duties as assigned.

Qualifications

Qualification/Requirements:
General Requirements:
  • Demonstrated ability to work successfully as a productive team member with people of diverse cultures, ages, and educational backgrounds. 

  • Strong interest in natural resource management.

  • Strong safety ethic.

  • Able to effectively, efficiently, and safely execute instructions and direction.

Basic Job-Specific Required Experience and Abilities:

  • Bachelor’s degree, preferred in natural resources, environmental science, public administration, or related field (or equivalent combination of education and experience)

  • Minimum of 3-5 years of professional experience in program or project management, preferably in Hawaii involving natural resource projects, conservation, or environmental compliance (but conservation/natural resources experience not required).

  • Excellent organizational and time management skills, and attention to detail.

  • Excellent written and verbal communication skills, and the ability to write clear, concise emails and reports.

  • Able to communicate effectively and coordinate logistics across departments and with external partners.

  • Strong analytical and collaborative skills.

  • Ability to manage multiple priorities and deadlines in a dynamic work environment.

  • Able to maintain a positive attitude and work under pressure.

  • Able to work collaborative and cooperatively with a wide range of agencies and constituencies and create effective working relationships.

  • Able to drive 4-wheel drive vehicles.

  • Able to use computers, GPS, tablets, and other electronic devices. Proficient in Microsoft Office, and able to learn in-house database systems. 

Preferred:

  • Prior experience supporting conservation programs or field-based work.

  • Supervisory experience and ability to foster a collaborative team environment.

  • Demonstrated experience with grant writing and administration.

  • Familiarity with contract administration and contractor oversight.

  • Knowledgeable in the steps of project development and management, including scoping, budgeting, materials purchasing, task tracking, budget management, and coordination. 

  • Possess broad knowledge and/or be willing to learn about diverse topics in conservation and natural resource management.

  • Able to fly in and work around helicopters. 

  • Able to participate in key emergency management roles for Pulama Lanai. 

Required Work Cards/Certifications:
  • Valid Driver’s License and successful review of Motor Vehicle Record.

Physical Requirements:

  • Standing and sitting for long periods of time indoors and outdoors.
  • While performing the duties of this job, the employee is regularly required to sit, talk, and hear. 
  • The employee is required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. 
  • The employee must regularly lift and/or move up to 30 pounds and occasionally lift and/or move up to 50 pounds. 
  • Specific vision abilities required by this job include close vision, distant vision, and color vision. 
  • Employee must have the ability to hear normal conversation without the use of amplification or enhancement devices.
  • Standing, moving, and carrying up to 15 lbs. over uneven terrain in inclement weather.
  • Ability to hike over uneven terrain for up to 5 miles while carrying a pack daily.
