JOB TITLE:  Accounts Payable Specialist                                                 SHIFT: Days

REPORTS TO: Financial Controller                                                         EXEMPT: no

 SUMMARY:

An Accounts Payable Specialist is responsible for managing and processing a company's financial transactions, ensuring timely payments to vendors, and maintaining accurate financial records.

SUPERVISORY RESPONSIBILITIES: None

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

·         Receive, review, and verify invoices for accuracy and compliance with company policies. Ensure that all invoices are properly approved before payment.

·         Schedule and process payments to vendors, ensuring that payments are made on time to maintain good vendor relationships and avoid late fees.

·         Maintain accurate records of all financial transactions, including invoices, payment receipts, and vendor communications. This includes entering data into accounting software.

·         Serve as the primary point of contact for vendors regarding payment inquiries and discrepancies. Resolve any issues related to invoices or payments promptly.

·         Assist in preparing financial reports related to accounts payable including expense reports.

·         Provide documentation and support during financial audits, ensuring compliance with internal controls and external regulations.

·         Generate Year-end 1099s.

·         Effectively working with Financial Controller to identify weaknesses in internal processes and in identifying necessary process improvements

  • Assist in other duties as assigned.

REQUIRED SKILLS/ ABILITIES:

EDUCATION and/or EXPERIENCE: Associate degree in business or accounting preferred. Must be computer literate (Excel, Word, Outlook).  Must be a detail-oriented, effective performer, who can operate within timelines and adapt to a fast-paced, multi-task environment. Must be self-motivated and able to work with little supervision in a team environment.  1-3 years of relevant accounts payable experience preferred.

COMMUNICATION SKILLS: Must have excellent written and verbal communication skills.  Ability to write reports and business correspondence.  Ability to effectively present information and respond to questions from supervisors, employees and Management personnel. 

 

LANGUAGE SKILLS: Ability to read and interpret documents in the English language such as safety files, operating and maintenance instructions, and procedure manuals.

MATHEMATICAL SKILLS: Ability to apply mathematical applications to practical situations. Demonstrated ability to understand basic statistics for process control.

REASONING ABILITY: Ability to solve practical problems.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES: Ability to use computers and all standard programs used by the industry and the ability to learn and effectively use any and all other computer programs that are or will be made available.

PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee will be required to move about the facility.  The employee is required to sit; use hands to finger; handle; or feel/hold objects; reach with hands and arms; climb or balance; speak; hear taste and smell.  The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus.

WORK ENVIRONMENT: While performing the duties of this job, the work environment includes normal office environment. The noise level in the work environment is usually quiet.

 

NORMAL WORK SCHEDULE: The hours and days of work are established as needed by operations and at the discretion of management and, while generally as shown below, may be changed (increased or decreased) by management as required.

 

Hours of Work: Generally, 8 or more hours/day as needed.
