POSITION SUMMARY: The School District of Clayton is seeking an Administrative Assistant for the School Counseling Office. The ideal candidate provides a variety of clerical and secretarial duties requiring initiative, independent judgment, and decision making within established policies. Duties frequently require the discreet and tactful handling of confidential material, and interaction with the staff, parents, students, and community.

 

REPORTS TO: Principal, Assistant Principal, Director, or Department Chair

 

ESSENTIAL JOB DUTIES

  • Perform clerical duties, including but not limited to: answering phones, screening and directing calls; greeting and assisting students; opening, processing, and distributing mail; typing forms, letters, reports, correspondence, memos.
  • Maintain a welcoming environment for all students seeking support.
  • Make appointments for students and parents to meet with counselors.
  • Oversee college representative visitation program. Responsibilities include greeting guests, scheduling space for visits, notifying attendance lists, clearing absences and being the face of the department.
  • Support the electronic submission and maintain records of all student recommendations and transcripts, including present students and graduates using electronic portals.
  • Produce, maintain and distribute reports including 504's, college applications, and scholarship submissions and requests.
  • Schedule visits from college and career representatives and military personnel.
  • Update department website and college counseling reports.
  • Organize the annual 4-School College Fair held on a rotational basis.
  • Assist with AP and PSAT organization.

REQUIRED QUALIFICATIONS – Required qualifications to effectively perform the job. An equivalent combination of education, training, and experience will be considered.

  • Some college is required.
  • At least 1-3 years’ experience is required.

  • Requires the extensive use of technology on a daily basis.
  • Requires strong organization to ensure all tasks are completed in a timely fashion.
  • Requires the ability to work well with others to provide cohesive services to the District.
  • Requires strong attention to detail.

PHYSICAL ABILITIES – Activities commonly associated with the performance of the functions of this job. The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job.   • Required to occasionally move objects weighing up to 10 pounds around the workspace.
  • Required to visually obtain information from computer monitor, correspondence, reports, or legal documents.
  • Required to operate standard office equipment.

WORK ENVIRONMENT – Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • General office conditions. Exposed to moderate noise levels.

TERM OF EMPLOYMENT: Eight hours per day. Twelve-month position, as assigned.

 

Education Requirements: Some college is required.

Experience:  Minimum of 1 - 3 years experience as an administrative assistant or equivalent position.  Prior school district office experience is highly desirable.

Compensation:  $21.22 - 31.85 per hour

FLSA status:  Non-exempt

Work Calendar: 10-month position
