SUMMARY:
The Logistics & Fleet Coordinator assists in preparing routes, confirming delivery schedules, and other administrative duties, such as trailer tracking & trailer billing. Utilizes internal systems, Sales Call Tracking, to facilitate deliveries and scheduling. Maintains office operations and procedures, to include preparing and sending correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Performs the following responsibilities in accordance with VoidForm policies and procedures, work rules, expectations, and behavior standards:
- Prepares and submits logistics and fleet correspondence to appropriate departments.
- Monitors driver schedules, schedules deliveries, and contacts customers to confirm delivery information.
- Evaluates & files DVIR/IVMR forms and coordinates with Fleet manager on repairs as needed.
- Assists with monitoring and managing Key Performance Indicators and cost factors impacting operational effectiveness.
- Assists Logistics & Fleet Manager in coordinating maintenance to ensure delivery schedules are maintained.
- Manages delivery schedule, to include rescheduling orders based on weather conditions and other factors that may delay delivery.
- Prepares shipping tickets for drivers as needed.
- Assists in driver coordination to include routing, scheduling, and communications. Maintains a driver log to document drivers’ hours.
- Reconciles fuel receipts and prepares reports and invoices related to fuel consumption.
- Assists Fleet manager with all maintenance schedules of all motorized units in VoidForm fleet. Works closely with Fleet Manager to ensure maintenance records are maintained and filed.
- Serves as a backup to department teammates, when needed.
- Contributes to a safe, accident-free, working environment by abiding by all safety procedures and policies as defined by VoidForm and OSHA regulations.
- Performs other duties as assigned based on experience, skill, and business needs.
Requirements
MINIMUM JOB REQUIREMENTS: (Education, Training, and Experience Required)
- Required: High School diploma or equivalent.
- Required: Minimum of 2 years of experience in a similar administrative role (fleet or logistics).
- Preferred: 2 years of college.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong attention to detail and ability to identify discrepancies and potential issues.
- Excellent analytical and problem-solving skills.
- Highly proficient in Microsoft Office Suite, particularly Word and Excel.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Maintain professionalism and courtesy in all interactions; comply with VoidForm’s behavior standards and values.
- Excellent organizational skills and time management abilities to meet objectives.
