THE POSITION

The Coordinator, Team Services will support organizing internal operations and administrative matters within the Team Services department at the FIFA27 office in Rio de Janeiro. 
 
The key requirements will be to establish and maintain efficient working relationships within the department and across other functional areas, proactive communication and the sharing of information, systematic work processes, diligent record keeping, and any other administrative support required by Team Services colleagues. 
 
They will provide support in the areas of team operations and team facilities (training sites and team hotels), ensuring consistency in overall planning and administrative tasks. 

KEY RESPONSIBILITIES
  • Providing administrative support for Team Services across operational concepts, policies, procedures and documentation and data management;  
  • Supporting interactions between functional areas for the delivery of services for all participating teams and referees through specific administrative functions (i.e. preparation of materials, agendas, reports, follow-ups and minutes, as needed); 
  • Coordinating the overall recruitment, selection and training process for Team Liaison Officers for participating teams; 
  • Leading the overall Team Services Volunteer project, including recruitment, management and training of volunteers in cooperation with the Volunteer Management department;  
  • Supporting overall IT project development and data input/management (Rate card project, Team Hub App, Power BI, We Track) within Team Services and coordinating the delivery of all services to be provided to teams via these systems; 
  • Supporting the preparation and delivery of readiness exercises and training materials for tournament staff and volunteers, as advised by the Senior Team Services Manager; 
  • Contributing to the Team Base Camp brochure with provision of adequate information, updating the brochure platform on regular basis; 
  • Supporting the preparation and implementation of readiness exercises (simulation exercises) at Team Base Camp Hotels at Team Base Camp Training Sites with all member associations involved; 
  • Contribute to and support the preparation of maps and drawings for team and referee training sites and hotels (including security perimeters, parking allocation, media facilities, etc.); 
  • Supporting the maintenance of other internal project management systems utilized before and during the tournament(s); and any other duties that may be assigned. 

YOUR PROFILE

  • A minimum of two years of experience in team services (operations and team facilities) as well as in event/project management, ideally at the international level. 
  • Proven track record in managing complex projects, including both pre-event planning and event implementation.  
  • Excellent communicator with strong planning, organizational and administrative skills. 
  • Exceptional attention to detail and ability to consistently deliver at a high standard. 
  • Able to work closely and collaboratively with others, while being self-motivated and able to work independently. 
  • Able to work with a team on the same projects and, as required, work independently to contribute to projects. 
  • Capable of making decisions using problem-solving skills and exercising sound judgement to achieve results. 
  • Comfortable and flexible when working in an international, demanding and changing environment. 
  • Able to adapt to and work well with people from other cultures and/or with other backgrounds. 
  • Able to hire, develop, coach, appraise and retain experienced and less experienced employees. 
  • Able to understand and adapt to new information quickly, and comfortable with learning new systems. 
  • High energy levels, strong negotiation and facilitation skills, excellent communication and presentation skills and positive relationship management abilities. 
  • Strong IT skills, including MS Office (Word, Excel, PowerPoint, Teams), Smartsheet and other planning tools. 
  • Familiarity with Power BI, We Track is an asset 
  • Fluent in English (spoken and written)
  • Fluent in Portuguese (spoken and written)
  • Any additional language skills a strong asset (especially Spanish and French). 
  • Right to work in Brazil. 
  • Ability to re-locate to Rio de Janeiro.
