Position Summary:
The Engagement Assistant is an essential part of the development team and is responsible for resident intake, processing donations, donor acknowledgments, data entry, and supporting the administrative activities of the Engagement Department. This includes, but is not limited to, assisting with the planning, coordination, and implementation of events, as well as administrative support for the Executive Assistant.
Essential Job Duties and Responsibilities (Additional duties as assigned):
· Answer incoming department phone calls, as well building and establishing positive trust relationships with donors in order to ensure continued patronage and satisfaction.
· Maintain the donor database; enter all donations into database timely and accurately, as well as run reports, export data and create merges and coordinate bulk mailings as needed.
· Responsible for all updates to constituent records in donor software.
· Conducts targeted outreach to donors and Francis House community.
· Run and prepare donor acknowledgements at least twice weekly.
· Assist department with data entry in event management software.
· Assist Finance Department with daily deposits.
· Receive, sort, and distribute incoming mail.
· Assist with the planning, coordination, and implementation of special events including maintaining accurate event details, preparing solicitation letters and packets, generating reports, guest lists, nametags, and other collateral materials.
· Provide regular support for Executive Assistant including accepting, recording and responding to donations (checks, cash, credit card, on-line donations. Act as back up when Executive Assistant is out of office.
· Provide administrative support to Auxiliary of Francis House including updating database, generating lists, generating labels, recording membership and making deposits.
· Responsible for intake related duties with family members and residents.
· Assist other departments with administrative needs such as order office supplies or postage.
· Assist engagement team members in engagement or development-related activities as needed.
Requirements
Education and Experience:
· High school diploma or GED; associate degree or graduate of a degree program in office or administrative assistance preferred.
· Three to five years’ administrative experience, in a non-profit agency a plus.
Knowledge, Skills, and Abilities:
· Computer proficiency in Microsoft Office Suite.
· Exceptional communication, telephone, and interpersonal skills.
· Ability to learn software programs supporting donor management, volunteer scheduling, event systems, and more.
· Excellent verbal and written communication skills including sensitivity and ability to work with confidential information.
· Demonstrated organizational and project management skills, including ability to set and manage multiple priorities and to set and meet deadlines.
· Ability to function independently and as an active member of a team
· Ability to manage multiple projects at one time
· Assisting with all stages of special events from planning to execution
· Ability to work with diverse group of volunteers
