This position will serve as the Fixed Asset Coordinator, with responsibilities including support for purchasing activities, oversight of asset tracking, and periodic spot-checks of resale inventories. The role will also contribute to the planning and execution of special events and projects.
Additionally, the Administrative Coordinator will manage the Division’s Ice Rink Sponsorship Program, which includes researching and developing sponsorship packages, implementing program elements, managing related finances, and leading overall strategic planning.
The selected candidate will also be responsible for managing customer correspondence and maintaining administrative records for the Division. While the position will primarily provide support to the Division Chief, the coordinator will also offer administrative assistance to office staff and other work programs on an as-needed basis.

Position Duties
Assist with managing Division correspondence, tracking time-sensitive communications, and referring to the appropriate staff for information or responses. Prepare responses, review, and edit documents submitted by staff for signature. Lends assistance/support to Enterprise Facility Managers and the Enterprise Division Office staff on a variety of Enterprise related matters and reports. Serve as the Fixed Asset Coordinator which will coordinate and manage the facilities Capital and Controlled Asset Inventories with facility management. Spot audit inventories at least quarterly. Provide oversight of facilities Resale Inventory Counts (CJIR, WIA, LBC, PBA, WIT, LNB, and BHB) twice a year including submitting year-end inventory counts. Collect, review for accuracy, and file all facilities Emergency Action Plans, Fire Drills, Vehicle Logs and Inspection Sheets, AED Logs, etc. Coordinate with management and review facilities websites for accuracy and make necessary revisions. Also coordinate holiday and operating schedules with management. Review and track facility bank reconciliations for accuracy and timely completion. Assist Division with Special Events and Projects. Assist the Division with purchasing needs by utilizing the purchasing system to process procurement data and account information. Process check requests and oversee facility change funds. Oversee the Division’s Ice Rink Sponsorship program. Work with facility and division management as well as the Park Foundation on creating an Ice Rink Sponsorship Program. Oversight encompasses researching and creating sponsorship packages, collaborating with managers and vendors to procure materials necessary for creating the advertising platforms, implementing the packages, managing finances, and strategizing the program's direction.
Important Skills and Characteristics:
Minimum Qualifications
1. Bachelor's Degree in Human Resource Management, Finance, Business or any related field.
2. One (1) year of experience in human resource management, finance or any other related area of business administration.
3. An equivalent combination of education and experience may be substituted, which together total 5 years.

Working Conditions:
Works in an office setting; may work outdoors briefly on an incidental basis. Work is primarily sedentary and requires very light to light physical effort. May be subject to various job demands such as high volume of work and tight deadlines.
