Responsibilities:
The Corporate Expense Coordinator is responsible for managing, processing, and monitoring all corporate expense reports, ensuring accuracy, compliance with company policies, and timely reimbursement to employees. This role serves as the main point of contact for expense-related inquiries and works closely with Finance, HR, and department managers to uphold expense control standards and improve reporting efficiency.
- Credit Card Administration:
- Manage corporate credit card accounts, including issuing cards, monitoring usage, and reconciling statements.
- Process credit card payments and monitor account activity.
- Reconcile credit card statements with Concur expense report submissions.
- Investigate and confirm flagged or potentially fraudulent transactions.
- Concur Expense Management:
- Serve as Concur Administrator for the organization which includes:
- Onboard and offboard employees in the Concur system.
- Link corporate credit cards to employee accounts.
- Assign expense approvers and managers.
- Respond to employee questions and provide user support.
- Update account codes and expense categories as needed.
- Train employees on expense submission tools, processes, and compliance requirements.
- Review, verify, and process employee expense reports in accordance with company policies and regulatory requirements.
- Maintain and update the company’s expense policy and provide guidance to employees.
- Track and report expense trends, identifying opportunities for cost savings.
- Serve as Concur Administrator for the organization which includes:
- AMEX Reconciliation:
- Reconcile the monthly AMEX corporate card statement with submitted Concur expense reports, ensuring all transactions are accurately coded and company-paid airfare is correctly reported.
- Development Invoices:
- Prepare and issue project-related development invoices.
- Reconcile outstanding development expenses against Concur data to ensure accurate billing and full cost recovery.
- Corporate Cell Phone Billbacks:
- Administer the corporate cell phone account billback process, including reviewing charges, allocating costs to appropriate properties, and reconciling against internal records to ensure accuracy.
- Support the broader Administration team with ad hoc tasks, special projects, and operational support as needed.
Qualifications:
The ideal candidate must possess the following qualifications:
- Bachelor’s degree in Accounting or Finance or equivalent experience/education
- 2+ years of previous corporate expense experience
- Prior real estate experience preferred
- Working knowledge of and experience with Concur software
- Excellent oral and written communication skills
- Exceptionally strong qualitative and analytical skills
- Prior employment history that demonstrates the ability to produce accurate work in a detailed and organized manner
- Highly proficient in Microsoft based software
- Solid organizational skills with the ability to work efficiently and independently
$53,000-60,000 salary range, based on experience, plus benefits and bonus
