Position Summary

Responsible for overseeing all of the administrative and business operations aspects of the heath care clinics.  Duties include hiring employees, ensuring compliance with regulations and managing the budget of the practice. Ensures the primary medical care practice remains financially sustainable while delivering highest quality service. Makes key business decisions and oversees day-to-day practice operations. Works to expand medical practice to make it more profitable and better meet the needs of the local community. Responsible for the efficient, effective and safe management of the Practice, and ensure the well-being of patients, providers and staff, as well as the successful and optimized running of a multi-specialty Practice. Responsible for overseeing the clinical operations of a healthcare facility. The director ensures the delivery of high-quality, efficient, and compliant patient care while managing administrative and strategic aspects of the practice.

 

Key Duties and Responsibilities

  • Organizes and ensures the effective administrative operation of a federally qualified community health care clinic by overseeing the daily practice operations and working closely with revenue cycle and clinical staff
  • Recruits, trains, and supervises employees
  • Works with leadership to develop and implement business strategies and improve patient services
  • Effectively communicates with call center, revenue cycle, patient registration, facility and clinical operations, case management, behavioral health, nursing and provider staff
  • Assists with oversight of  vendor and contractor relationships as appropriate, including but not limited to security, housekeeping, labs, pharmacy and clinical contractors
  • Develops, implements, and supports workplace and clinic procedures and workflows
  • Actively and effectively assists in the implementation of risk management, compliance and quality improvement processes
  • Provides leadership for survey, site visit and audit readiness from funders (including HRSA Operational site visit readiness, Patient Centered Medical Home (PCMH), Health Equity Index, etc.)
  • Works closely with clinical leadership to manage clinical schedules to maximize patient access, ensure providers are closing notes timely, and clinical and operational benchmarks are achieved 
  • Works with facilities personnel & nursing staff to ensure medical equipment is serviced regularly and procurement of equipment follows procurement and purchasing procedures
  • Works with nursing staff to ensure supplies and equipment are kept stocked and maintained to the manufacturer’s standards and conditions
  • Provide budget oversight in partnership with Revenue Cycle and Finance Department.
  • Responds to patient complaints and concerns focusing on resolution
  • Provides leadership and works with the multidisciplinary care team to develop behavior contracts when appropriate
  • Assist with inter-departmental “Goodness of Fit” meetings to review patient and staff requests to switch to a new Primary Care Provider within the agency. 
  • Interacts with patients and gains customer feedback about the practice
  • Supports quality improvement initiatives, data collection and reporting, and CQI activities, in support of optimizing clinic and organization wide performance improvement, including but not limited to: (UDS goals, RSR Client and employee satisfaction, PCMH certification, Environment of Care, etc.)
  • Ensures effective implementation of regulatory compliance for multiple funding streams, including CMS, HRSA (HAB and BPHC), and state Medicaid services.
  • Actively participates in Risk & Safety, Optimization and other meetings
  • Support grant management for RW and 330 grant in line with FQHC clinic and site operations.
  • Other duties as assigned.

 

Qualifications

  • Master’s Degree in Business, Healthcare Administration or comparable area of study required.
  • Minimum of 5 years’ experience managing health care clinic operations or clinic practice management required
  • Minimum of 5 years’ supervising employees in a formal leadership role

 

ESSENTIAL PHYSICAL REQUIREMENTS 

  • Ability to lift up to 25 lbs.
  • Work is primarily office based  
  • Extended periods of sitting required.
  • May require standing for extended periods of time as appropriate for the activity
  • Working hours are usually 8:30am to 5pm but may be required to work earlier and later hours during busier periods
