Purpose
Reporting to Senior Legal Counsel, the Commercial and Legal Administrator is an integral member of the legal team providing administrative support and facilitating the execution and document management of contracts and other legal documents within the Commercial business unit.
The primary purpose of the role is to provide administrative coordination and support to the Legal team, and organisation and maintenance of contracts and other legal documents. Key focus areas include administrative support to the Legal team to facilitate and ensure timely delivery of services, organisation and maintenance of contract and other legal document registers, scheduling and coordinating meetings and movements, and ability to work proactively.
Major Responsibilities / Duties
QUENSHT
- Contributes to and participates in the IIF philosophies and culture at Clarke Energy.
- Takes care of their own health and safety at work and ensures their acts do not adversely affect the health, safety and environment of others.
- Stops unsafe work practices, either their own or of other workers.
- Identifies and reports health, safety and environmental hazards and implements corrective actions.
Technical
- Administrative support for the legal team, including:
- administrative coordination;
- filing and retrieval of documents, preparing drafts, formatting, printing various documents;
- organising and facilitating execution of documents via DocuSign or similar;
- providing administrative assistance to ensure the timely provision of legal advice, including in all facets of the Legal team’s delivery (including tender proposals, contract negotiation and close-out, general advice);
- assisting with presentations and training.
- Preparation and maintenance of the various Registers held by the Legal team including Legal Contracts, Bank Guarantee, Confidentiality Agreements, Lease and Channel Partner Agreements Registers.
- At all times, maintain strict confidentiality of all matters within the legal team and the wider Commercial business unit.
- Assist the Document Controller with peripheral tasks as required;
- Assist with Reception/Switchboard cover as per Roster and adhoc when required;
- Reconcile expense reports for Director monthly/as required;
- Other tasks as required from time to time.

Required qualifications / experience / skills
- Previous experience in similar role / position, including familiarity and proficiency around contracts and confidentiality agreements.
- Excellent written and verbal communication skills.
