Job Title: Administrative Assistant

We are seeking a Bilingual Administrative Assistant (English/Spanish) to support our Main Office Reception. This key role serves as the first point of contact for clients, staff, and visitors, providing exceptional customer service and administrative support. Responsibilities include answering and directing phone calls, responding to general inquiries, greeting clients, and collaborating with HR team members to complete various administrative tasks. Additional duties may involve verbal and written translation, filing, data entry, copying, faxing, maintaining organized records, etc.

This position works out of our main office from Monday to Friday and the hours from 8 am to 5 pm.

Duties Include:

  • Greet and welcome guests to the Main Office and help connect them with where they are going.
  • Answers the SWHD phone line and route callers to the appropriate staff or voicemail, minimizing hold times.
  • Support scheduling of CPR/First Aid and other relevant training. 
  • Assist employees and new hires with Fingerprint Clearance Card applications or other relevant background check applications. 
  • Collaborate with the recruiter to support the onboarding of new employees.
  • Sort and distribute incoming mail and packages. 
  • Print employee ID badges for employees and new hires, including taking their photograph.
  • Performs a variety of clerical tasks such as copying, faxing, filing, and maintaining internal phone listings.
  • Assist with other duties as assigned. 

Qualifications

  • High School diploma / GED
  • Bilingual – ability to speak, read, and write (English/Spanish).
  • A reasonable amount of relevant clerical experience is required, including:
    • Experience with multiple phone lines
    • Knowledge of appropriate telephone etiquette
    • Front-office procedures
  • A minimum of one (1) year relevant clerical experience is strongly desired.
  • Preferred skills and qualifications:
    • Experience with Windows Microsoft Word and other Windows applications
    • Experience as a receptionist
  • A valid Arizona Fingerprint Clearance Card OR must qualify for a valid Arizona Level One Fingerprint Clearance Card is required.
