Financial Counselor - Fertility Services bei Inception Fertility and Indiana Fertility Institute

As a Financial Counselor, you’ll play a key role in supporting patients by helping manage their accounts with care and accuracy. You’ll be responsible for verifying insurance, guiding patients through their financial options, and assisting with both insurance and self-pay billing and collections. This role is part of a collaborative, team-oriented environment where clear communication and attention to detail are essential. You’ll work closely with the financial team and other departments to ensure a smooth office flow and a positive experience for every patient.

This position can either be located in Houston, TX or Indianapolis, IN

Essential Responsibilities: 

The Financial Counselor plays a key role in supporting patients throughout their treatment journey by providing compassionate and knowledgeable financial guidance. This position focuses on patient retention, creative problem-solving, and building ongoing relationships to help patients navigate financial aspects of care with confidence.

Responsibilities include explaining fees and financial plan options, setting up and managing payment plans, assisting with insurance benefit verification and authorizations, and helping patients complete insurance and financial assistance applications. The Financial Counselor also serves as a liaison between patients, internal departments, and insurance carriers, ensuring clear communication and prompt resolution of account-related questions.

This role involves collecting and processing payments, issuing refunds, maintaining accurate documentation and spreadsheets, and ensuring all processes align with departmental guidelines. With a focus on empathy and accuracy, the Financial Counselor ensures each patient receives the support they need every step of the way.

Knowledge and skills needed: 

• Demonstrated knowledge of third-party and insurance company operating procedures, regulations and billing requirements. 
• Experience with Microsoft Office suite and Electronic Medical Record (EMR) system. 
• Ability to effectively establish and maintain cooperative and effective working relationships 
• Effectively prioritize competing responsibilities, with a sensitivity toward matters which are time sensitive. 
• Exercise a high level of discretion and sensitivity to patient privacy. 
• Ability to recognize, evaluate, solve problems and correct errors.  

Education / Experience: 

• High School diploma or equivalent is required; Associate's or Bachelor’s degree preferred 
• Minimum of 2 years' experience offering financial counseling in a health care related field
