We have great opportunities for Central Scheduling Assistants.  The schedule is Monday through Friday 8-4:30 PM. 

The Central Scheduling Assistant plays a vital role in ensuring efficient and accurate appointment scheduling operations. This position supports the Central Scheduling team by processing faxes, managing mailings, conducting outbound reminder calls, rescheduling patient appointments, and following up on online appointment requests. Additionally, during periods of high call volume—typically Mondays, Tuesdays, and following major holidays—this role supports the Central Scheduling team by assisting with incoming patient calls. In addition, the Central Scheduling Assistant helps train new hires and support existing team members to ensure consistency and excellence across scheduling operations.

Key Responsibilities

  • Administrative Support
    • Process incoming faxes and prepare outgoing mail, including postage and metering.
    • Maintain filing systems, including electronic and paper-based records.
    • Update patient addresses and other demographic information in scheduling systems.
  • Patient Communication
    • Conduct outbound calls to remind patients of upcoming appointments and rescheduling as needed.
    • Respond to and follow up on appointment requests submitted via the internet.
    • Assist with inbound patient calls during periods of high call volume (e.g., Mondays, Tuesdays, and post-holiday periods).
  • Records & Confidentiality
    • Ensure compliance with HIPAA and internal policies regarding patient confidentiality.
    • Adhere to medical records handling procedures.
  • Team Collaboration
    • Work closely with Central Scheduling and Contact Center team members to ensure a seamless patient experience.
    • Assist in training new hires and providing ongoing support to existing team members
    • Support other administrative duties as assigned by the Scheduling Manager.

Qualifications
Education & Experience
  • High school diploma or GED required.
  • Some computer experience preferred (e.g., basic knowledge of Microsoft Office, scheduling software, or EHR systems).
Skills & Abilities
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to operate office equipment, including telephones, fax machines, copiers, and postage meters.
  • Familiarity with basic office filing systems (electronic and paper).
  • Ability to maintain professionalism and confidentiality at all times.
  • Comfortable working both independently and as part of a team.
