OVERALL PURPOSE OF THE JOB
This role is an Assistant Producer supporting busy project teams across a range of fundamental tasks and responsibilities that enables the teams’ work to be more effective and leads to our ambitious design projects to be realised.
This role will suit someone with previous experience as a Producer, Project Manager or Administrator who is enthusiastic about organisation, detail and adapting their work to creative processes and environments. You will be the foundation of the department acting as an entirely reliable resource and support for the team.
Contract type: Permanent
Salary: £30,000-£40,000 dependent on experience
Reports to: Head of Producing
Key relationships: Project Directors, Design Directors, Creative Directors, Producers, Business Development leads, Head of Studio, Communications and across all areas of the business.

KEY RESPONSIBILITIES
Key responsibilities will include, but are not limited to:
Producing & Project Management
- Scheduling project meetings, supporting the Producers & Project Managers with diary management and taking minutes when required.
- Travel and accommodation booking for all team travel.
- Processing of relevant visas for project teams in all territories.
- Creating and distributing schedules and itineraries as required.
- Assisting Producers on projects as required including attending on-site during tech periods as necessary.
- Updating 59 Project databases and softwares with updated project information.
- Working with the Business Development Coordinator and wider Business Development team to put together the essential information for the creation of new business documents e.g. tenders and pitches.
- Availability checking & requesting contract information for project freelancers for required roles on projects (e.g. programmers, lighting designers, sound designers etc.).
- Working with the HR team to provide NDAs and Contracts to relevant freelancers and suppliers.
- Assistance in third party licensing.
- Assisting with the organisation of shoots for both content creation and behind the scenes filming as required.
- Project related research for the project team as required.
- Working with the Producers & Project Managers to ensure Sustainability and Universal Design are actively addressed on projects.
Communications
- Working with the Content & Communications Manager to upload and broadcast new project information, for example across the 59 and Journey websites and social media.
- Assisting the Producers & Project Managers with final project documentation for both external and internal use, in collaboration with 59’s Content & Communications Manager.
General
- Deputising for the Producers & Project Managers as required.
- Provide basic catering for meetings as required.
- Acting as one of the company’s health & safety and Fire Warden representatives.
- Undertake other work as reasonably required by the company.
PERSON SPECIFICATION
Essential Skills
- Approximately 1 year experience as an administrator, project manager or producer
- Ability to interact with a wide range of people and excellent interpersonal skills
- Experience working in a fast-based environment and ability to work under pressure and to tight deadlines
- An aptitude and/or understanding of creative processes and projects, and specialist craft
- An interest in working to the highest possible standards
- Knowledge of or interest in producing in different industries and geographical territories
- Experience of complex travel arrangements and visa processes, either personal or professional
- Experience in budgeting and effective financial management
- An interest in and willingness to travel globally
- A willingness to work during the hours of our industries for example on weekends and evenings as required (59 x Journey operates a Time Off in Lieu policy)
- A commitment to championing representation and inclusion at every level
Desirable Skills
- Experience in sales of projects, and negotiating with a range of clients
- Language skills
- Existing network of relationships with commissioning organisations and potential clients
- Experience of contributing to company-wide work across Sustainability and/or Universal Design and audience access

The interview panel will include members of 59’s Producing & Project Management team & the Director of People, they may be joined by colleagues from other departments, across the two rounds of interview.
Our interviews are built as two way conversations to better understand each other’s work and aspirations, and may include a task to better understand the candidate's process. We operate equal opportunity interviews and typically share the opening interview questions in advance with candidates. Interviews are held in-person at our London Studio in order for candidates to meet some of the team, however they can be arranged online if there are geographical considerations.
