The Office Operations Coordinator requires a reliable and detail-oriented individual to ensure the smooth daily functioning of our Manhattan office. This role requires a proactive individual who can balance multiple responsibilities, provide excellent internal support, and maintain a professional and efficient workplace environment.

This position will be on-site at the New York City physical office and studio

The anticipated base pay range for this position is between 65k and 80k annually. Individual base pay may vary within that range depending on job-related knowledge, skills, experience, relevant education, department equity, training, geography, and local wage and hours laws.  

ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Office Supplies & Equipment: Manage inventory, order supplies, and oversee vendor relationships.
  • Mail & Deliveries: Coordinate incoming and outgoing mail, packages, and courier services.
  • Connectivity & IT Support: Troubleshoot and escalate internet or connectivity issues, liaising with IT vendors when necessary.
  • Facilities Management: Serve as the primary liaison with building management/landlord for repairs, maintenance, and access.
  • Office Scheduling: Oversee conference room and office space scheduling to optimize usage.
  • Communications: Distribute office operations updates and announcements to staff.
  • General Support: Provide onsite assistance for employees and leadership to maintain a productive workplace.
  • Other duties as assigned by management

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Track record for innovation, learning and using new skills and technology, especially AI.
  • Ability to prioritize and to work under and meet short- and long-deadlines in a fast-paced, data-driven work environment and to accurately fact-check information
  • Excellent interpersonal, problem solving, organizational and team player skills.  Excellent communication and active listening skills. 
  • Ability to interact professionally and build relationships and develop sources with a diverse array of people.
  • Ability to work well, be professional and courteous with a variety of editors, staff at all levels, and the public.
  • Computer proficiency (MS Office, Digital editing, web search, databases)
  • Ability to work a flexible schedule that may include nights and weekends 
  • Regular and reliable attendance.

EDUCATION AND EXPERIENCE: 

  • Combination of knowledge and experience equivalent to a B.A. or B.S. Degree in Business or related field. 
  • Prior experience in office coordination, facilities, or administrative operations preferred. 
  • Should be comfortable troubleshooting basic technology/connectivity issues.

WORK ENVIRONMENT:

Must be able to work in the office and sometimes remotely while contributing to a team environment

  • Must be able to remain in a stationary position most of the time, but also move about the workspace to access necessary equipment or supplies.  May occasionally move office supplies or equipment weighing up to 20 pounds across or away from workspace.  Some processes may necessitate the ability to observe details at close range (within a few feet of the observer). 
  • Proficient in effective verbal and written communication with colleagues, management, and external stakeholders, utilizing various mediums such as in-person interactions, email correspondence, written documents, telephone conversations, and video conferencing applications.
  • Regularly utilizes a computer, often requiring prolonged periods of keyboarding and mouse usage.
  • Regular and reliable attendance is required. May be required to work additional hours beyond the regular schedule, including non-traditional business hours.
  • Valid driver’s license and vehicle insurance meeting or exceeding the legally mandated minimum requirements.
  • Travel, including by air, to various locations may be necessary.
