Caldwell University invites applications for an Administrative Assistant. Reporting to the Director of Residence Life this position is responsible for creating a welcoming environment within the Office of Residence Life and providing confidential administrative support. Job duties include, but are not limited to:

  • Provide administrative support to Residence Life to include but not limited to; answering phones, responding to emails in multiple inboxes, and maintaining Google drive functions. Assist with student worker and Graduate Assistant hiring, onboarding, training, scheduling, and payroll. Support the Director, Assistant Director, and Graduate Residence Directors with day-to-day office needs.

  • Provide excellent customer service and create a welcoming environment for students, parents and families, campus partners, and visitors to the Office of Residence Life. Serve as the first point of contact for questions and concerns, assist with student meal plan changes and related communications, and provide accurate referrals as needed.

  • Manage budget to include preparing expense reports, check requests, credit card reconciliations and cash advance requests. Track expenditures, assist with forecasting, and maintain organized financial records.

  • Ensure proper operation of office technology, procuring office and programming supplies, and maintaining a well-managed stock of necessary materials. Enter, manage, and retrieve data into/from Residence Life and Student Conduct software as needed. Maintain accurate student records, assist with departmental reporting, and provide administrative support for student conduct processes, including tracking sanction completion, scheduling meetings, and preparing and sending letters.

  • Assist with summer conference operations, including logistics vendor coordination, while maintaining the summer conference calendar. Support housing operations throughout the year by assisting with move-in, move-out, break closings, and departmental programs and events.

  • Maintain Residence Life operational calendar, the Director  calendar, monthly bulletins and necessary rosters. Prepare and distribute communication pieces, assist with marketing materials, and update the Residence Life website and social media with announcements and program highlights.


High School Diploma plus one to two years of effective experience is required plus working knowledge of MS Office and email applications is required.
