About the Department

The Office of Housing Stability is seeking a detail-oriented and dependable Business Operations Coordinator to join our passionate, mission-driven team! This administrative role is essential to the smooth daily operations of our office and provides direct support to both leadership and front-line program staff.

The Coordinator will primarily serve the Office of Housing Stability and provide support to the Human and Economic Health Director. Key responsibilities include managing administrative systems, tracking budgets and expenses, processing payroll, employee on- and off-boarding, coordinating meetings, preparing reports and materials, maintaining department tools like websites and forms, and supporting program implementation and evaluation.

The typical schedule for this position is 8am-4:30 pm, Monday - Friday, ability to work two days remotely after initial onboarding is completed.

Position Duties

What you'll be doing:

  • Accurately apply County and department policies, procedures, and guidelines accurately.
  • Preparing and reconcile budgets, invoices, payroll, and other financial documents.
  • Scheduling and coordinate meetings and events, including logistics and Zoom support.
  • Draft clear, professional internal communications, reports, and documentation.
  • Coordinating and assisting with special projects as needed.
  • Using tools like Excel, Google Suite, and Canva to support operations and reporting.
  • Prioritizing tasks and work independently to meet changing deadlines.
  • Analyzing current policies and procedures to identify improvements and recommend timely, practical solutions.
  • Handling sensitive information with discretion and maintain confidentiality.

What we're looking for:
  • Strong understanding of County and departmental rules, policies, and procedures, with the ability to apply them effectively.
  • Knowledge of public sector operations, including budgeting, staffing, and compliance.
  • A solution-oriented professional who ensures seamless business operations while maintaining a positive rapport with internal and external partners.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, Google Suite, Canva, JotForm, Adobe, and Zoom.
  • Experience preparing, managing, and monitoring operational budgets. 
  • Ability to work independently and adapt to shifting priorities in a fast-paced environment.
  • Strong problem-solving skills with the ability to address logistical and operational challenges.
  • Understanding of workflows, timelines, and resource needs for effective project coordination.
  • Commitment to maintaining confidentiality and using discretion with sensitive information.

  • Bachelor's Degree, or equivalent combination of education and/or experience, in Business Administration, Accounting, Public Administration, or a related field is required. Related education or experience may be substituted on a year for year basis.
  • One (1) year of experience in a directly related field or in the performance of similar duties and responsibilities required.
  • Possess reliable transportation to be able to work in any County facility as needed and required.
