Provide onsite support for instructors and Instructor Aide volunteers for adult educational programs. Work collaboratively with leaders and other members of the department to achieve short- and long- range goals for instructor and volunteer training /coordination. Contribute to the goal of achieving the highest level of excellence as the premiere resource for adult education programs in Phoenix.


Essential Duties

Program Coordination and Instructor Support 

  • Ensure successful implementation of scheduled Adult Education programs by providing outstanding service in both instructor and educational event coordination
  • Act as point of contract for instructor inquiries before and during class.
  • Provide instructor assistance by promptly answering questions, purchasing materials and booking appropriate educational facilities. 
  • Assist with ongoing training and instructional support for instructors. 
  • Organize and procure all trip information including room arrangements, dietary needs, itineraries, and questionnaires between students and the travel company

Coordinate volunteer efforts

  • Create and deliver materials required for successful implementation of a class. 
  • Ensure room signs and class rosters are provided to the IA station in a timely manner
  • Monitor volunteer scheduling and participation, and act as a liaison between the adult education team and Instructor Aid and Office Aid volunteers. 
  • Support yearly training for volunteers.
  • Assist as Instructor Aide for classes without scheduled volunteer support

Fully participate in the daily activities in the Garden

  • Attend Garden staff meetings, team meetings, and events
  • Support the department in meeting goals set forth in the Garden’s strategic plan
  • Continue professional development and participation in professional organizations

Hourly Pay Rate - $20.00/Hr

Requirements

    

  • Associate level degree in Education, Event Management or related field, or equivalent combination of education and experience.
  • Demonstrated skills and abilities in event management, negotiation and customer service.
  • High-level of organizational skill and flexibility to work well in a changing environment.
  • Functional ability, or willingness to learn, various software including MS Office applications and event booking platforms.  
  • Ability to work with team in a fast-paced environment with deadlines and diverse audiences.
  • Food Handler’s card or ability to get card.
  • Experience working with volunteers.
  • Ability to work off-hours with occasional evenings, weekends and/or holidays.
  • Ability to lift weight up to 10 pounds and engage in physical tasks as a consistent part of job. 

Equipment Used

Typical office equipment. Technology and computer programs include Microsoft office products, a ticket sales platform and event booking software to reserve class spaces at the Garden. 


Internal Communication

Frequent communication with Garden employees and volunteers. 


External Communication

Frequent communication with instructors and organizations running classes at the Garden.


Working Conditions

No physical effort beyond what’s typically required in a normal office environment. Potential for tight deadlines or time periods of high workload may require additional hours. The noise level in the work environment is usually minimal.

Must be able to walk, sit, stand, stoop, kneel, bend, see, hear, speak, read and type. Manual dexterity and the ability to lift 10 pounds required.
