Overview
Contributes to the overall success of the Facilities Department in support of the Dallas office for the Bank of Nova Scotia.
Ensures individual goals, plans, initiatives are agreed with the Senior Facilities Manager and executed in support of the Facilities team’s strategy and objectives.
Ensures all activities conducted are following governing regulations, internal policies and procedures.
Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
Champions a high-performance environment and contributes to an inclusive environment.
What You’ll Do
- Assists with all aspects of facilities management for the physical premises in the Dallas office including the maintenance of premises, furniture, equipment, telecommunications, and HVAC systems.
- Actively maintains an inventory of all vendor COI’s and schedule of maintenance to be performed during a calendar.
- Assists with the input of purchase orders into QuickBooks software. Facilitating invoice processing and approval gathering in line with the accounting department’s guidelines.
- Responsible for maintaining the vendor management inventory and risk assessment tools working with TPRM and Legal to onboard new Premises vendors and handling risk assessments for all Premises vendors.
- Responsible for monitoring and actioning of tickets from requests made by businesses within the Facilities Intake Management System (FIMS).
What You’ll Bring
- College degree desirable.
- Experience in administrative support, facilities, logistics or complex office environments.
- Knowledge of purchase order processing and approval protocols beneficial.
- Banking or broker dealer experience is a positive.
