Overview
- Contributes to the overall success of the Office of the Chief Operating Officer in the United States ensuring specific individual goals, plans, and initiatives are executed / delivered in support of the Facilities Department’s strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
- Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
- Champions a high-performance environment and contributes to an inclusive work environment.
- Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
What You’ll Do
- Responsible for all aspects of facilities management for the bank’s premises in Dallas including the maintenance of premises, furniture, equipment, telecommunications, pre-Action (Fire Suppression), and HVAC systems.
- Coordinates all aspects of Record Management arrangement with the offsite archives, including the destruction, record maintenance and storage and retrieval of archives.
- Liaises with vendors, consultants, NY Office, Building Management, and local staff regarding premises matters.
- Provides administrative and technical support, including maintaining floor plans, creating purchase orders, telephone support, and posting and preparing of invoices for approval by the Senior Facilities Manager.
- Liaise with Human Resources, Technology, and business managers to onboard new hires.
- Oversee space planning including seat and office assignments, seat moves, coordination with Real Estate for projects.
- Track occupancy and headcount to adjust site accommodations and maintenance where required.
- Contribute to the maintenance of Facilities procedures as they relate to the Dallas office.
- Manage café services to provide staff with meal options.
- Ensures conference rooms, reception area, wellness rooms, storage and stock areas are well maintained and align to enterprise standards.
- Coordinates Housekeeping services and ensures that the space is well maintained and tidy at all times.
- Manages schedules of Facilities staff to ensure proper coverage at all times.
What You’ll Bring
- College degree desirable
- Experience in managing facilities or complex offices preferred
- Knowledge of purchase order processing and approval protocols necessary
- Banking or broker dealer experience is a positive
