The Administrative Assistant for Office Services greets members, vendors, couriers, job applicants and other visitors to the credit union’s headquarters building. Provides first-line security oversight for the corporate office lobby entrance. Performs administrative support to departments within the credit union.
Duties & Responsibilities:- Greet members, vendors, couriers, job applicants and other visitors in a consistent, professional and friendly manner adhering to proper security protocol and logging activity.
- Provide security oversight for corporate office lobby by monitoring security screens, checking for badges, etc.
- Answer phone calls promptly and courteously and route to appropriate personnel.
- Ensure the headquarters lobby is constantly staffed during agreed business hours and maintained in a neat and orderly fashion.
- Coordinates meals for internal meetings.
- Perform various duties to assist other departments such as folding and mailing loan coupons, ordering business cards, ordering lunches, renewing notaries, special project requests, etc.
- Perform various duties to support Employee Treasures: selling stamps, tickets (movies, amusement parks), etc.
- Assist facilities and mailroom staff as needed, cross train to gain basic skills.
- Work with other credit union departments to ensure the workflow or process is providing the best service to the members.
- Set up users with vendor log ins.
- Invoice review and coding
- Perform other duties as assigned.
Education and Experience Requirements:
- High school diploma or equivalent
- Two (2) years of front-line customer service experience in a corporate environment.
- Previous experience answering a multi-line phone system and general comfort with web-based tools required.
