Description
- Greet and assist clients, visitors, and employees with professionalism and courtesy.
- Maintain a clean, organized, and secure reception area.
- Monitor visitor access and ensure building security protocols are followed.
- Answer and direct incoming calls; respond to general inquiries.
- Coordinate guest office assignments and conference room bookings.
- Organize catering, tech preparation, and logistics for in-office meetings, executive meetings, trainings, and events.
- Ensure meeting rooms are prepped and returned to order post-use.
- Oversee daily office operations including vendor management, supply inventory, and maintenance coordination.
- Manage relationships with service providers (e.g., water, coffee, cleaning, catering).
- Monitor and replenish office supplies, beverages, and kitchen items among others; ability to lift boxes up to ten pounds.
- Order and replenish in-office snacks, beverages, including coffee and coffee machine sanitation and servicing
- Coordinate building access, ID badges, parking permits, and guest passes.
- Liaise with building management for repairs, alerts, and maintenance needs.
- At the discretion of the Office Manager, supervise mail handling, shipping, and courier services.
- Provide executive support to senior leaders including calendar coordination, travel arrangements, and expense reporting.
- Support badge setup and workspace coordination for new hires.
- Maintain confidentiality of sensitive information, especially related to board and executive matters.
- Plan and execute in-office and off-site events including birthdays, holidays, and happy hours.
- Assist with logistics for board and executive meetings, including technology setup and catering.
- Perform dry runs of meeting room technology and coordinate with IT for support.
- This role is located in Samford, CT.
- Proven experience in office management, reception, or administrative coordination.
- Strong interpersonal and communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office Suite and familiarity with conferencing tools.
- High level of discretion and professionalism.
- Comfortable interacting with senior executives and external guests.
- Bachelor's Degree in related field desirable
