General Job Summary
The Loan Setup Supervisor is responsible for the supervision of the New Loan Setup department to ensure timely, efficient, and accurate onboarding of mortgage loans for servicing. This includes, but is not limited to, monitoring all loan boarding activity to ensure service levels are being met, ensuring staff adhere to established processes and procedures, monitoring the quality of the operations and taking measures to ensure a high level of quality is maintained and providing daily work direction to staff.
Summary of Essential Job Functions
- Distribute workload to department staff, hold staff accountable for assigned work, coordinate training, and assist staff with daily problem-solving situations.
- Train, coach, motivate, supervise, and lead employees as needed.
- Stay up to date with changing regulatory requirements impactful to compliant servicing.
- Assist management with recommendations and implementation of new processes, procedures and Key Performance Indicators (KPIs) and ensure that procedures are updated to reflect such changes.
- Coordinate with management to maintain a change log of any updates to department standards, processes, and/or procedures.
- Review and audit daily 20% of new loans and escrow set ups from the previous day and provide reporting to management on a daily, weekly, or monthly basis as needed.
- Working closely with the Servicing Transfer team to ensure alignment of onboarding standards.
Other Job Functions
- Work with investors and other division departments to resolve outstanding issues.
- All other duties as assigned by management.
Requirements
Education, Training and Work Experience
- Associate’s degree or equivalent years of experience combined with Highschool Diploma/GED required.
- 2 + years supervisory experience required.
- 3 + years of experience in mortgage servicing industry required.
- Previous experience of validating others’ work & resolving training problems required.
- Exceptional proficiency with the Microsoft suite of products including Excel, Word, Visio, and PowerPoint preferred.
- Experience with ICE Mortgage Technologies’ MSP® Mortgage Servicing System and LoanSphere Loan Boarding application preferred.
- Microsoft SQL Server Management Studio SELECT statement experience preferred.

Working Environment
Primary working environment is within an indoor climate-controlled office space and/or a private home office or some combination which will be at management’s sole discretion. Employee may be subject to florescent lighting, dust, and other normal indoor allergens. Employee may work in close proximity of coworkers and occasionally independently in quiet environments.
Physical Requirements
- Able to lift up to 20 pounds.
- Extended periods of sitting (at computer desk).
- May be exposed to extended periods of interaction with others (listening/talking/taking notes).
- Complete repetitive tasks (including operation of computer mouse/keyboard).
