The IT & Facilities Coordinator ensures smooth day-to-day operations across Viome’s Bellevue and Bothell offices by providing IT systems administration, employee technology support, and facilities coordination. This role oversees IT security, onboarding/offboarding processes, vendor relationships, and workplace support, while also managing company purchasing cards for office supplies and coordinating with Finance on expense tracking and vendor invoices.

Responsibilities
  • IT Administration & Support
  • Manage Viome’s IT HelpDesk, providing timely resolution for hardware, software, and access issues.
  • Administer user accounts through Okta, Google Workspace, Slack, JIRA, and other company applications.
  • Oversee IT onboarding and offboarding, including account setup, MFA, device imaging, and access removal.
  • Maintain device and software security using ESET Remote Security Management; run audits and compliance checks.
  • Manage IT inventory, track hardware/software assets, and coordinate vendor purchasing.
  • Troubleshoot conference room AV, office internet, and equipment issues; escalate critical IT incidents as needed.

  • Facilities & Office Support
  • Coordinate building maintenance and facility service requests with property management.
  • Manage shipping/receiving of packages and ensure mail distribution.
  • Maintain common areas, breakrooms, and supplies (including snacks, beverages, and PPE).Oversee employee access cards, security systems, and equipment returns.
  • Assist with planning and organizing office events.
  • Serve as primary contact for facilities-related vendors and contracts.

  • Finance & Vendor Support
  • Maintain accountability for company card purchases related to office and IT needs.
  • Upload receipts, track expenses, and reconcile monthly spend with Finance.
  • Provide accounting support for IT app licenses, vendor invoices, and renewals.
  • Partner with Finance to ensure accurate budget tracking for IT and facilities expenditures.


  • Skills and Qualifications
  • 3–5 years of combined IT support and facilities/office operations experience (startup or biotech preferred).
  • Strong troubleshooting skills across Mac/PC hardware, software, and SaaS applications.
  • Working knowledge of identity management and IT security tools (Okta, Google Workspace, MFA, ESET or similar).
  • Excellent communication and interpersonal skills with ability to support employees at all levels.
  • Highly organized with ability to manage multiple responsibilities across IT and office operations.
  • Proficiency in GSuite, Microsoft Office, and ticketing systems (Jira, or similar).
  • Familiarity with expense reconciliation and vendor invoice processing preferred.
