TITLE: Development Database Specialist
REPORTS TO: Grants and Contracts Officer
CLASSIFICATION: Part-Time, 0.50 FTE
FLSA Status: Non-Exempt
LOCATION: Hybrid (Portland, OR)
COMPENSATION: $31.25 per hour

POSITION DESCRIPTION
The Development Database Specialist is responsible for the effective management and strategic use of EveryAction, our primary CRM platform across Latino Network’s agency. Works closely with Leadership (Executive Director, Director of Philanthropy, and Development Manager) to leverage tools within EveryAction to develop donor acknowledgement pathways to produce regular digital and physical acknowledgement letters. This role supports fundraising and communications goals, volunteer management best practices, and grants tracking efforts by ensuring the integrity, accuracy, and accessibility of our data systems in a timely manner. The ideal candidate has strong technical and analytical skills, attention to detail, and a passion for using data to drive impact.
PRIMARY DUTIES/RESPONSIBILITIES
Database Administration & Integrity
- Maintain and manage the EveryAction database to ensure accurate, up-to-date, and complete records.
- Enforce and update data entry protocols, data hygiene practices, and regular deduplication processes.
- Create and maintain documentation of database procedures and policies.
Data Entry & Reporting
- Enter data into EveryAction, specifically check, cash, and EFT deposits from the Finance Department.
- Generate regular and ad hoc reports to support fundraising, program, and communication efforts.
- Work with staff to develop dashboards and custom reports for key performance indicators (KPIs).
- Support annual reporting and donor segmentation through data exports and analysis.
Development & Communications Support
- Assist the Development team with donor tracking, gift entry, acknowledgments, and campaign reporting.
- Segment donor lists for appeals, events, and stewardship using advanced EveryAction queries.
- Coordinate with the Finance Department to ensure accurate gift reconciliation and reporting.
Training & Support
- Train staff and volunteers on use of EveryAction.
- Provide ongoing technical support and troubleshoot database-related issues.
- Serve as the primary liaison with EveryAction support when technical issues arise.
Data Strategy & Innovation
- Advise on best practices for EveryAction use and data-driven decision making.
- Collaborate with program, communications, and development teams to streamline data workflows.
- Evaluate and implement integrations with other tools/platforms (e.g., email, event platforms, peer-to-peer fundraising tools).
Requirements
REQUIRED SKILLS/KNOWLEDGE/ABILITIES
- 1-2 years experience managing a donor database or CRM, preferably EveryAction.
- Strong analytical skills and attention to detail.
- Proficiency in data querying, segmentation, and reporting.
- Ability to train and support team members with varying levels of tech proficiency.
- Commitment to the mission and values of Latino Network.
- Experience in a nonprofit development or operations role, especially organizations with both 501c3 and 501c4 affiliations.
- Familiarity with nonprofit fundraising practices, donor stewardship, and grants management.
- Working knowledge of data privacy and security best practices.
- Exceptional interpersonal, written, and oral communication skills.
- Demonstrated ability to work independently while meeting key organizational deadlines.
- Performance-oriented mindset with a strong work ethic, high accountability, and commitment to achieving goals.
- Ability to be flexible and adaptive to successfully achieve the functions of the position as described in the job responsibilities.
- Ability to conceptualize, collaborate, plan, and manage projects and multiple initiatives simultaneously.
- Bilingual (English/Spanish) preferred but not required.
- Evening and weekend availability may be required.

WORK ENVIRONMENT
Latino Network is a fast-paced, highly engaged work environment with satellite operations with positions performing work both onsite and remotely. While performing the duties of this job, the employee is occasionally exposed to wet or humid conditions (non-weather); outdoor weather conditions; extreme cold (non-weather) and extreme heat (non-weather). The noise level in the work environment is usually moderate.
