The job:
As an Office Manager, you will be responsible for providing administrative support for office operations in the assigned office location. You will organize, coordinate, and perform all administrative functions necessary for the day-to-day operation of the local office and ensure the smooth running of the office to help improve company procedures and day-to-day operation. Your role is to create and maintain a pleasant work environment, ensuring high levels of effectiveness, communication, and safety.

What will you do in this role:
- Perform routine clerical and administrative work in answering the phones, receiving the public, and providing customer assistance.
- Respond to inquiries from employees, customers, and others; refer to appropriate parties when necessary.
- Assist in the procurement of office materials and supplies.
- Maintain the equipment in the office through replenishing supplies, providing regular maintenance, or scheduling service as needed.
- Compile data for and prepare periodic financial, statistical, or operational reports as assigned.
- Perform the duties involving customer contact, working with contracts, and entering jobs.
- Provide customers with follow-up on outstanding quotes and maintain focus on sales process closure for all proposals.
- Provide administrative, clerical, and technical support to the Vice President over your assigned office.
- Compose, edit, and type a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
- Provide administrative and clerical support to the local office and remote personnel.
- Assist customers by routing telephone inquiries to the appropriate person.
- Assist with preparing shipping tickets and invoices.
- Perform other job-related duties as assigned.
Education, Experience and Ability Requirements:
- Associate degree in related areas preferred.
- Basic computer literacy - Microsoft Office, e-mail.
- Strong writing and verbal skills include the ability to interact with customers, vendors, and employees.
- Able to perform basic reporting of project finances.
- Able to work additional hours at short notice as needed to meet deadlines.
- Must be able to manage multiple deadlines efficiently in environment that requires rapidly changing priorities.
