Description

Position Summary

The Donor Database Manager ensures the integrity, accuracy, and strategic use of Penfield Children’s Center’s donor data. This role manages and optimizes the donor database (Bloomerang) to provide actionable insights, support portfolio managers, and strengthen donor engagement. The Donor Database Manager collaborates across the Partnerships & Investments and Marketing teams to generate reports, track trends, and help drive fundraising success, while maintaining high standards for data quality and stewardship.

 

Essential Duties and Responsibilities

Donor database management and analysis:

  • Manage the Bloomerang donor database by ensuring records are accurate, consistent, and properly coded.
  • Establish and maintain clear standards for how donor information is entered, categorized, and updated.
  • Regularly audit and clean data to remove duplicates, correct errors, and maintain accuracy.
  • Develop and maintain policies and procedures for consistent database use across the team.
  • Create, update, and customize reports, dashboards, and pivot tables to track donor giving patterns, portfolio activity, campaign performance, and overall fundraising progress.
  • Partner with portfolio managers to provide donor histories, research, and data-driven insights that strengthen cultivation and solicitation strategies.
  • Collaborate with the Partnerships & Investments team to segment donors for targeted outreach and campaigns.
  • Track and report on moves management activity to ensure accountability and alignment with strategic goals.
  • Analyze donor demographics, giving trends, and philanthropic capacity to identify opportunities for growth.
  • Integrate and manage data from external systems (e.g., OneCause for Croquet Ball, United Way reporting) to ensure complete and accurate donor records.
  • Provide timely monthly, quarterly, and annual reporting to the VP of Partnerships & Investments and leadership team.
  • Serve as the in-house Bloomerang expert by providing training, support, and ongoing recommendations for improvements.
  • Stay current on best practices in fundraising analytics, donor database management, and emerging tools/technologies.

 

Liaison to the Finance Department:

  • Enter and acknowledge all contributions in an accurate and timely manner, including those made via check, credit card, EFT, and other methods.
  • Track and maintain donor pledge records, including sending pledge reminders and preparing pledge reports as needed.
  • Partner with the Finance Team to reconcile the donor database (Bloomerang) with the general ledger each month to ensure accuracy across systems.
  • Collaborate with Finance on grant-related financial functions, including budget requests, reporting, and grant closeout requirements.
  • Support Finance during audits by preparing donor-related reports and providing accurate, timely information.
  • Provide the Partnerships & Investments team with monthly revenue and donor activity reports that align with Finance’s reconciled financial statements.

 

Assist with some aspects of Digital Marketing:

  • Partner with the Marketing team to provide donor data and reporting that inform email campaigns, appeals, and engagement strategies.
  • Generate reports on key performance indicators (KPIs) such as donor retention, response rates, campaign effectiveness, and ROI.
  • Provide audience segmentation and donor lists for targeted outreach (e.g., year-end appeals, and special campaigns).
  • Ensure donor engagement activity is captured in Bloomerang, supporting a complete picture of investor interactions across marketing and fundraising efforts.

 

Training and Support:

    • Train staff in database usage and best practices.
    • Provide ongoing support and troubleshooting for database users.
    • Stay updated on industry best practices in database management and fundraising technology.

 

Assist the agency as needed:

  • Support special projects and initiatives as assigned by the VP of Partnerships & Investments.
  • Contribute to a collaborative team culture by assisting colleagues across departments when needed.
  • Participate in Penfield events and activities, including volunteering at the annual Croquet Ball and other special events to directly support the mission and community.

 

 

Qualifications


Required Education and Experience

  • Bachelor’s degree in nonprofit management, data analytics, business, or a related field, or equivalent professional experience.
  • Proficiency with donor database management software, ideally Bloomerang; experience with other CRMs such as Raiser's Edge, Salesforce, or DonorPerfect is a plus.

 

Required Knowledge, Skills and Abilities

 

  • Strong analytical skills with the ability to interpret donor data and translate insights into actionable strategies.
  • Exceptional attention to detail and strong organizational skills, with a commitment to maintaining accurate, high-quality data.
  • Understanding of donor stewardship, fundraising principles, and moves management.
  • Knowledge of data privacy, security regulations, and best practices in donor data management.
  • Excellent communication and interpersonal skills, with the ability to collaborate across teams and present information clearly.
  • Proactive problem-solving skills and ability to manage multiple priorities in a dynamic environment.
  • Comfortable supporting marketing and engagement efforts through data reporting and analysis to strengthen donor relationships.
