Position Summary:

ANSER is seeking an Administrative Services Manager to support the Office of the Under Secretary of Defense for Policy (OUSD(P).  In this role you will provide comprehensive administrative and operational support to a senior-level office, ensuring effective management of correspondence, records, personnel processing, and security coordination. You will oversee day-to-day office functions, including resource and facility management, visitor logistics, and compliance with IT, records, and security protocols, while serving as a central point of contact for a wide range of internal support activities.

Day to Day Responsibilities:

  • Manage official correspondence and records, including logging, editing, distributing, and tracking documents via CATMS and email, as well as handling FOIA requests and maintaining compliance with records management policies and disposition schedules.
  • Coordinate with OUSD(P) Executive Secretariat on records management practices and maintain office filing systems and electronic archives, including the DASD-level intranet site.
  • Process and manage all incoming and outgoing mail, including courier delivery and internal distribution.
  • Facilitate personnel in- and out-processing, ensuring completion of onboarding checklists, system access forms (e.g., DD 2875), and updating relevant personnel portals.
  • Assist with timekeeping and personnel actions, including processing awards, temporary staff support requests, consultant packages, and Intergovernmental Personnel Act (IPA) assignments.
  • Support security processes, such as building and suite access, CAC requests, system access authorizations, and clearance verifications, including submission of Visit Authorization and Foreign Visit Requests.
  • Manage visitor logistics, including Pentagon access coordination, visitor escorting, and scheduling pick-up/drop-off or parking arrangements for guests.
  • Oversee resource and facility management needs, including requesting and maintaining IT equipment, telecommunications services, and facility-related support.
  • Maintain accountability for office assets, such as furniture, office supplies, and IT inventory; track parking passes and oversee burn bag use and destruction compliance.
  • Submit and retrieve foreign gifts, coordinating with the appropriate office to ensure timely processing in accordance with federal guidelines.
  • Support implementation of IT initiatives and compliance requirements, acting as liaison for relevant updates, installations, or office-wide rollouts.
  • Maintain professional presentation materials, including ordering and managing business cards for senior staff and supporting other office branding needs.

Required Qualifications:

  • Active Top Secret clearance with SCI eligibility
  • 4+ years’ experience providing administrative support in the federal government, defense or military space.
  • Prior experience with correspondence and workflow management.
  • Demonstrated proficiency and experience with the Correspondence and Task Management System (CATMS)
  • High pruriency with Microsoft Office Suite products.
