Position Goal
The Administrative Assistant works under the supervision of the Administrator to manage the school office and provide an efficient, organized office operation. The Admin Ass't I schedules appointments, prepares reports, correspondence, purchase requisitions, work orders, and otherwise relieves the Administrator of clerical work and minor administrative and business details by performing the following duties.

- High School Diploma or GED required.
- Experience in a public school setting to support processes in the areas of student information record systems, student discipline, report preparation, correspondence, purchasing procedures, etc.
- Must be eligible to be a Notary Public.
- Demonstrated general clerical and computer/word processing skills, including experience with MS Windows and Microsoft Office products and applications.
- Demonstrate professionalism in attitude, dress and office demeanor.
- Proficiency in responding to internal and external inquiries via telephone, fax, e-mail, and written correspondence.
- Demonstrated knowledge of general office procedures and utilization of office equipment.
- Possess good organizational and planning skills.
- Positive communication skills in dealing with students, parents, employees, and the community.
- Familiarity with legalities concerning confidentiality of records and information.
- Fluent in Spanish is preferred but not required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Demonstrate positive interpersonal interactions with all staff, district office personnel, parents, and visitors.
Establish and maintain good rapport with students, parents, staff, and community.
Respond to program inquiries.
Organize and maintain program records.
Schedule appointments and meetings; arrange travel schedules and reservations for Administrator.
Read and respond to or route incoming mail. Prepare outgoing mail.
Compose and send routine correspondence; make copies of correspondence or other printed materials and file appropriately.
Prepare and distribute notices and other written material requiring a variety of information on general or specific school/district policies and procedures.
Maintain effective communication between school, district office administration, and staff related to operation of school, including problem-solving.
Maintain security of student records and confidentiality of student information.
Maintain an inventory of office machines, resources, supplies, and other needed equipment.
Prepare purchase requisitions and work orders.
Account for and maintain written and computer records of program budgets, student activity account, and other funds received by the school or school departments.
Compile information and prepare reports.
Prepare, copy, and distribute program information.
Maintain program master calendar.
Provide back-up support to other office staff as needed.
Facilitate program registration. Maintain accurate, appropriate records and files for all students. Authorized to sign student withdrawal forms.
Other duties pertinent to this program and position.
