About the Job:
The Marine Corps Heritage Foundation is seeking a highly organized and motivated Full-Time Special Assistant to support both the Marketing Department and the Foundation’s Annual Awards Program. This role is integral to the execution of ongoing marketing initiatives and the coordination of the annual Awards Dinner, which honors individuals who preserve and promote Marine Corps history.
The ideal candidate will provide administrative and operational support across a variety of projects, manage multiple deliverables, and assist in promotional, communications, and event logistics efforts. This position offers a unique opportunity to contribute to both the Foundation’s marketing campaigns and one of its most prestigious annual programs.
Location/Schedule:
Fully in-person: This is full-time, in-person position located at 1775 Semper Fidelis Way, Triangle, VA 22172. Some evening and weekends required.
Responsibilities:
Marketing & Communications
- Provide support in advertisement contracting and deliverables by coordinating with graphic designers, vendors, and media outlets.
- Promote Marine Corps Heritage Foundation and National Museum of the Marine Corps events through community calendars, emails, and media channels.
- Collaborate with the Marketing Manager to ensure website content is accurate, timely, and aligned with campaign goals.
- Assist with the creation and distribution of the Foundation’s email newsletter, including content development and audience segmentation.
- Support additional projects as needed, including media relations, content development, and event logistics.
Annual Awards Program
- Platform Familiarity: Maintain working knowledge of the online awards management system to assist with reviewing entries and tracking submission status.
- Judging Support: Organize and mail physical book submissions and materials to judges, ensuring accurate tracking and timely delivery.
- Winner Liaison: Serve as the main point of contact for award recipients, collecting biographies, headshots, RSVPs, mailing addresses, and other details for press releases, recognition, and event logistics.
- RSVP Management: Track RSVPs for recipients, VIPs, general officers, and invited guests, and assist with seating coordination and follow-up communications.
- On-Site Event Support: Provide registration and guest check-in support at the annual Awards Ceremony and Dinner.
- General Program Assistance: Support administrative tasks and communications related to the Awards Program as needed.
- Marketing & Communications: Assist with promoting the Awards Program across Foundation platforms, ensuring visibility and alignment with broader initiatives.
Requirements:
- 3–5 years of experience in marketing, event coordination, or related field (preferred).
- Strong organizational and multitasking skills with ability to manage multiple projects simultaneously.
- Proficiency with CMS platforms (EveryAction, HubSpot) and website content management.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Experience with graphic design or video editing is a plus.
- Familiarity with military culture, particularly the Marine Corps, is a bonus.

The environmental factors and/or physical requirements of this position include the following: The capability to carry and handle up to 10-20 pounds of technical equipment safely and efficiently. Excellent hand-eye coordination is essential to perform precise tasks and operate equipment effectively. The candidate should also be comfortable working in a shared office space, fostering positive relationships with colleagues and maintaining professionalism in a collaborative environment. Additionally, as some work may be conducted outdoors, the candidate should be adaptable and prepared to fulfill job responsibilities in varying weather conditions while ensuring the successful completion of assigned tasks.
