The Cordova Recreation & Park District (CRPD) is seeking a part-time Clerical II/Office Assistant to join a dedicated team to provide a variety of clerical and administrative support for the Hagan Community Center. 

Typical schedule: This is a part-time onsite position with a typical schedule of Monday through Friday, up to five (5) hours a day. Work is to be performed between the hours of 12:00 p.m. and 5:00 p.m., not to exceed 30 hours a week. This position may occasionally assist with after-hours or weekend events. 

Ideal Candidate
The ideal Clerical II candidate has excellent customer service, clerical, and computer skills using Microsoft Office Suite. The ideal candidate works well with diverse populations, demonstrates excellent communication and organizational skills and has the ability to build and maintain positive working relations with staff, community partners and the general public.

Summary Description
Under the supervision of the Recreation Supervisor II, the Clerical II is responsible for assisting customers with questions, program registration and reservations at the Hagan Community Center in person, on the phone and through email. Typical duties include answering questions regarding the District, enrolling patrons in programs, using registration software, scheduling rentals, and providing tours of rental facilities while using exceptional customer service. The incumbent will complete additional projects as requested.

We provide quality recreational programs, parks and services for our diverse and growing region. We currently operate over 50 parks and facilities across more than 600 acres of urban and open space. We also operate Cordova Golf Course which is a full-service 18-Hole course with a lighted driving range, pro-shop and lessons from PGA professionals. We host dozens of events throughout the year and provide athletic, educational and creative outlets for children and adults of all ages.

Position Duties

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

  • Act as a receptionist, answering the telephone and assisting the general public at the front counter. 
  • Provide assistance to the public by responding to requests for information; register participants and process registration fees; explain and review applications and forms and ensure they are completed properly; make and distribute copies; resolve complaints in an efficient and timely manner.
  • Perform a variety of routine recordkeeping duties including sorting, filing, and archiving in accordance with record retention program.
  • Assist with accounts payable, vendor correspondence, and budgets.
  • Use a computer to create and update a variety of documents, spreadsheets, and forms including general correspondence and reports; disseminate information as appropriate.
  • Enter, retrieve, and update data into a computer from various sources.
  • Produce a variety of informational flyers, brochures, and newsletters related to area of assignment.
  • Account for daily revenue in registers and perform daily reconciliation of cash received
  • Operate various office machines, including telephone systems, photocopier, computer, printer, scanner, and fax machine.
  • Maintain inventory of office supplies and equipment, order office supplies and equipment as necessary. 
  • Arrange for repair and maintenance of office equipment.
  • Process mail including receiving, sorting, date stamping, and distributing incoming and outgoing correspondence.
  • Participate in planning and coordinating special projects and events as assigned.
  • Train lower level staff as assigned.
  • Perform opening and closing procedures of assigned facility as necessary.
  • Perform related duties as assigned.

Minimum Qualifications

The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties.

Knowledge of:
  • Professional office etiquette with excellent grammar, spelling, and writing skills.
  • Customer service techniques, practices, and principles.
  • Methods and techniques of proper phone etiquette.
  • Office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, email, and databases. 
  • Principles and procedures of record keeping and filing.
  • Basic mathematical principles.
  • Basic principles of business letter writing.
Ability to:
  • Interpret and apply District policies and procedures. 
  • Perform general clerical work, including maintaining files and compiling information for reports.
  • Act as a receptionist in operating a telephone system. 
  • Type and enter data into the computer at a speed necessary for successful job performance.
  • Respond tactfully, clearly, concisely, and appropriately to inquiries related to area of responsibility.
  • Operate office equipment including computers and supporting word processing, spreadsheet, and email applications.
  • Maintain confidentiality, including securing, maintaining, purging, and shredding electronic and paper files and documents in accordance with District policies.
  • Understand and follow oral and written instructions.
  • Maintain attention to detail by prioritizing work and coordinating several activities simultaneously despite interruptions.
  • Maintain integrity of work by taking responsibility and accountability for completion of work and internal customer interactions and maintaining punctuality and attendance at work.
  • Contribute to a team effort.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
Education and Experience Guidelines - Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Equivalent to the completion of the twelfth grade and one to three years of clerical experience involving a high level of public contact required. Municipal government or public sector experience is desirable.

License or Certificate: 
Possession of First Aid/CPR/AED certification preferred. 

Additional Requirements:
Department of Justice (DOJ) background check.
A clear tuberculosis screening is required.
