Document Processing Specialist
Summary
The Document Processing Specialist is responsible for processing electronic and physical documents within proprietary software systems. This role ensures the accurate movement of various types of documents through the full processing cycle, utilizing both manual and automated workflows.
Essential Duties and Responsibilities
Review, identify, and process correspondence according to approved procedures
Process electronic documents accurately and within established timelines
Maintain accuracy in naming, storing, and retrieving electronic files
Collaborate with internal departments including Account Managers, Scanning, and Accounting
Process incoming physical mail for in-office staff, including sorting, distribution, and preparation for scanning
Operate scanning and mailing equipment to ensure timely and accurate processing
Distribute non-scanned mail to appropriate personnel
Archive and purge documents in accordance with established schedules
Audit and process CDs to ensure documents or images are uploaded electronically as required, including following up on pending password access
Perform additional duties as assigned
Education and Experience
Associate’s degree and 3 years of experience processing electronic documents, or equivalent combination of education and experience
Knowledge, Skills, and Abilities
Proficiency with computers, Windows Explorer, Microsoft Office, Adobe Acrobat, and proprietary software systems
Language Skills: Ability to read and interpret open orders, service logs, and procedure manuals; prepare reports and correspondence; and communicate effectively with customers and colleagues via phone, web conference, and email
Mathematical Skills: Ability to perform basic calculations, compute rates, ratios, and percentages
Reasoning Ability: Ability to apply common sense understanding and solve problems involving multiple concrete variables in standardized situations
Physical Demands
Regularly required to sit, use hands, talk, and hear
Occasionally required to lift and/or move up to 10 pounds
Specific vision abilities include close vision and ability to adjust focus
Work Environment
Work performed in an office environment with moderate noise levels
