Job Summary
The Event Marketing Specialist at Alliant Power is a hands-on, highly visible role responsible for planning, coordinating, and executing all aspects of the company’s participation in tradeshows, conferences, and corporate events. Unlike traditional event teams, this is an individual contributor role — you will independently manage multiple events simultaneously, serving as the single point of accountability for logistics, materials, and communications for each show.
This position requires a self-motivated, highly organized professional who thrives on ownership and can confidently juggle competing priorities in a fast-paced environment. You will collaborate closely with Sales Directors, department heads, and leadership to ensure each event supports strategic business objectives and delivers a consistent, professional brand experience.
Key Departmental Responsibilities
- End-to-End Event Management
- Plan, coordinate, and execute tradeshows, conferences, and events independently —managing multiple events at the same time.
- Handle booth selection, event registration, catering, A/V needs, and onsite execution with minimal oversight.
- Develop and manage comprehensive event timelines, ensuring all milestones are met.
- Logistics & Travel Coordination
- Arrange and manage travel logistics for attendees, including airfare, car rentals, hotel accommodations, and itineraries.
- Maintain accurate travel rosters and provide clear pre-event instructions to team members.
- Stakeholder Communication
- Serve as the primary liaison for all event-related communications, providing regular updates to Sales Directors, department heads, and leadership.
- Collaborate closely with cross-functional teams to align event objectives, presentations, and customer engagement opportunities.
- Vendor & Partner Management
- Source, negotiate, and manage vendors for booths, displays, promotional materials, and other event needs.
- Ensure vendor deliverables are met on time and within budget.
- Maintain supplier relationships regarding co-op funding, sponsorships, and joint marketing initiatives.
- Material Preparation & Shipping
- Compile, organize, and manage all event materials, marketing collateral, and promotional items.
- Oversee shipping, inventory management, and post-event returns of all event materials.
- Budget Management
- Track and manage event budgets, expenses, and vendor invoices, ensuring cost-effective execution.
- Onsite Leadership
- Serve as the onsite lead for setup, execution, and teardown, ensuring a professional presence and smooth operations.
- Troubleshoot and resolve issues quickly to maintain a seamless attendee experience.
- Post-Event Reporting
- Prepare post-event reports, analyze outcomes, and provide recommendations for continuous improvement.
Marketing Administration
- Track and report on co-op fund usage to ensure compliance and maximize funding opportunities.
- Serve as the main point of contact for OEM partners on all marketing-related needs, ensuring brand consistency and alignment with strategic initiatives.
- Support Sales and Marketing teams by coordinating the execution of OEM programs, campaigns, and co-branded efforts.
- Ensure timely communication with external partners regarding deadlines, approvals, and deliverables.
- Source, manage, and maintain company-branded merchandise (“swag”) for both internal and external use.
- Oversee customer outreach programs by providing marketing and sales teams with merchandise, collateral, and promotional support.
- Manage the design, printing, and distribution of printed materials to support marketing and sales initiatives.
- Assist in creating and managing marketing collateral to support events, sales campaigns, and sponsorship activities.
Skills & Qualifications
- 2–4 years of experience in tradeshow coordination, event planning, or a related role (corporate or B2B preferred).
- Proven ability to independently manage multiple events and competing priorities.
- Strong organizational and project management skills with exceptional attention to detail.
- Excellent interpersonal and communication skills for coordinating across departments and managing vendor relationships.
- Experience with travel logistics, budgeting, and contract/vendor negotiation.
- Proficiency in Microsoft Office Suite; familiarity with event management software is a plus.
- Ability to travel (25–40%) and work flexible hours to meet event demands.
