SUMMARY
The Bid Coordinator will identify bid opportunities and oversee the creation and submission of successful proposals. In this position, the Bid Coordinator will collaborate with various departments and stakeholders to manage the proposal development process, ensuring that proposals are correct and delivered on time.
This role entails qualifying and preparing bid proposals for cost estimates for various products and business lines. The bid Coordinator will effectively communicate and work in partnership with numerous internal teams, including application Engineers, sales teams, and other subject matter experts.
The ideal Bid Coordinator candidate should possess strong writing abilities, keen attention to detail, and the ability to identify process improvements while working both independently and as part of a team. The successful applicant is expected to be proactive, diligent, and proficient at managing time constraints and competing priorities.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other functions may be assigned.
- Monitors Bid inbox to obtain relevant documents, including plans and specifications.
- Uses CRM to enter all bid and proposal data.
- Communicates with customers, subcontractors & suppliers’ customers, sales engineers, and other stakeholders regarding bid-related questions.
- Provides information to client companies in the bid process and serves as the point of contact for related calls.
- Attends all relevant job meetings (Bid Coordination Meetings and Sales meetings to collect feedback and updates on the status of opportunities.)
- Assists in estimating by creating proposals and ensuring proposals are delivered to sales engineers and customers within the time frame required.
- Responsible for reporting in support of opportunity management.
- Maintains database and/or CRM so that opportunities are continually updated and accurate.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
QUALIFICATIONS include the following:
- Experience related to HVAC, contracting, or service-related industry preferred.
- Familiarity with HVAC equipment and terminology is preferred.
- Must possess excellent attention to detail, organizational skills, and the ability to prioritize multiple projects and tasks to meet competing deadlines.
- Exceptional communication and interpersonal skills; demonstrate the ability to communicate effectively.
- Ability to assess and prioritize multiple tasks, projects, and demands.
- Enthusiastic, self-motivated, and dedicated to high-quality work
- Ability to perform duties in a digital/paperless environment.
