POSITION RESPONSIBILITIES:

The Grants Administrator and Projects Coordinator will provide high-level administrative and research support to the Department Chair of Neuroscience, with a focus on managing grant-related activities for the Intellectual and Developmental Disabilities Research Center (IDDRC) and coordinating strategic departmental projects for Neuroscience. This exempt-level role requires independent judgment, discretion, and the ability to manage complex, confidential tasks across multiple initiatives. The position supports both the operational and research missions of the department, including the (IDDRC).

 

 

Grants Administration:

  • Lead the preparation and submission of grant applications and progress reports (e.g., NIH, T32, IDDRC).
  • Coordinate post-award activities such as budget carryforwards, effort reporting, and compliance documentation.
  • Maintain and update grant-related materials including biosketches, other support documents, and Just-In-Time requests.
  • Collaborate with the Senior Department Administrator on grant budgeting and reporting processes.

Project Coordination and Strategic Support:

  • Coordinate departmental sponsored events, including conferences, public outreach, and faculty meetings.
  • Manage logistics for invited speakers, including travel, accommodation, and scheduling.
  • Support the development and distribution of newsletters, outreach materials, and internal communications.
  • Maintain and update the RFK IDDRC website and ensure timely dissemination of program information.

Administrative and Operational Support:

  • Serve as a liaison between the Chair and internal/external stakeholders, ensuring effective communication and follow-through.
  • Manage the Chair’s calendar, travel, and correspondence with a high degree of autonomy.
  • Coordinate faculty recruitment and appointment processes in collaboration with academic affairs.
  • Prepare presentations, reports, and meeting materials as needed for departmental initiatives.
  • Additional duties as assigned
QUALIFICATIONS:
  • Bachelor’s degree required with a minimum of 3 years experience in research administration project coordination or executive level support.
  • Familiarity with NIH and foundation grant processes strongly preferred.
  • Excellent organizational, communication, and multitasking skills.
  • Proficiency in Microsoft Office Suite and grant submission platforms (e.g., eRA Commons, ASSIST).
  • Ability to exercise discretion and maintain confidentiality in all aspects of the role.

 

Additional Information:In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is listed below. Albert Einstein College of Medicine considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer.Maximum Salary Range:USD $90,000.00/Yr.
