Position Title: Inside Sales Administrator (ISA)

Reports To: Inside Sales Manager

Summary:

The Inside Sales Administrator plays a pivotal role in ensuring customer satisfaction and supporting sales operations. This position is responsible for managing customer interactions, processing orders, resolving issues, and providing comprehensive

administrative support to the sales team. The role requires strong coordination across departments including production, logistics, and finance to ensure timely and accurate fulfillment of customer needs. The ideal candidate is proactive, detail-oriented, and committed to delivering seamless customer experience.


Key Responsibilities:

Customer Support -

  • Respond promptly and professionally to customer inquiries via phone, email, and online platforms.
  • Provide accurate information on product availability, pricing, lead times, and order status.
  • Build and maintain strong relationships with customers to foster loyalty and repeat business.
  • Handle escalations and complaints with empathy and efficiency, ensuring timely resolution and customer satisfaction.

Order Processing & Fulfillment Coordination-

  • Review and enter customer purchase orders with precision and accuracy.
  • Coordinate with production, inventory, and logistics teams to ensure timely and accurate delivery.
  • Monitor order progress and proactively communicate updates or delays to customers.

Sales Support & Administrative Duties -

  • Maintain detailed records of customer interactions, orders, returns, and communications in the CRM system.
  • Track open orders and follow up on pending shipments, documentation, and invoicing.
  • Support external sales representatives, including quote preparation and customer follow-ups.

Process Improvement & Cross-Functional Collaboration-

  • Identify opportunities to streamline order processing and customer service workflows.
  • Collaborate with Accounting, engineering, and operations teams to resolve complex order or account issues.
  • Participate in internal meetings to share customer feedback and contribute to service enhancements.
  • Support implementation of new CRM/ERP features and provide feedback on usability and efficiency.

Qualifications:

  • High School Diploma or GED is required.
  • Minimum 3 years of experience in customer service, order management, or sales support, ideally in a manufacturing or industrial environment.
  • Associate’s degree in Business Administration, Customer Service, or related field.
  • Proficiency in CRM and ERP systems.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with a customer-first mindset.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Problem-solving skills and a proactive approach to resolving issues.
