Service Coordinator / Office Administrator

Pay Range: $20 - $22, Commensurate with experience

Location: 

 

The Service Coordinator/Office Admin position entails a variety of tasks. Answering daily phone calls from customers to report service calls and ETA on service calls.  Entering service calls via phone and email. Working with Service Management to achieve an organized and proficient dispatch board.  Along with these daily duties it will be required to maintain and help with duties around the Branch that are stated below in addition to what maybe be needed to make MPE Successful.

 

Responsibilities:

Service Coordinator

  • Answer incoming phones
  • Work with Service team to get customer updates
  • Work with Parts for Work Orders and scheduling return trips
  • Assign Work Orders to area Service Technician by 4pm the day before
  • Update customer portals in assigned area
  • Communicate calls to Service Technicians in emergency situations
  • Work with Service management when special projects come up
  • Maintain the service inbox email for your area
  • Submit paperwork and Testing Documents to State and enter into software 
  • Notify the team and supervisor time off 2 weeks out so we can plan coverage

 

Office Administrator

  • Order supplies for Branch (printer paper, office supplies, PPE, etc.)
  • Track certifications for calibrations, DOT physicals, and Training Re-certs and notify Manager when they are due
  • Greet and direct incoming traffic
  • Answer incoming phone calls
  • Book hotels for training and work travel
  • Help with Special Projects when needed
  • Work with the Management Team on any maintenance needed on site
  • Check Mail daily
  • Basic Ad hoc responsibilities
  • Process payments for walk in customers

Hours:

  • This is a full-time position working Monday-Friday 

Education and Experience:

  • High School diploma required, but college degree preferred
  • Three years working in a professional office environment or related experience preferred
  • Construction or service contractor experience preferred but not mandatory

General/Technical Requirements:

  • Proficient with Microsoft Office products
  • Ability to work hands-on in a small office environment
  • High attention to detail 
  • Sound integrity and professional ethics
  • Outstanding communication and interpersonal skills
  • Ability to multitask, prioritize and complete assignments on time
  • Valid driver’s license
