SCOPE OF POSITION:
The Intake Specialist serves as the first point of contact for individuals seeking support for any program managed under the Workforce Services Program including Workforce Innovation and Opportunity Act (WIOA), Job Placement and Training Program (JPTP), General Assistance (GA), and Tribal Native Employment Works (NEW) program. This role is responsible for conducting client intake assessments, determining eligibility, gathering documentation, and connecting participants with appropriate services. The Intake Specialist plays a key role in ensuring that clients are smoothly and efficiently enrolled into the program and begin their journey toward employment and self-sufficiency.
SUPERVISION: The Intake Specialist will work under the supervision of the Workforce Services Director, who will provide guidance, direction and conduct performance evaluations.
DUTIES & RESPONSIBILITIES:
- Greet and engage prospective clients in a professional, culturally sensitive manner.
- Conduct comprehensive intake interviews to assess employment history, education, career goals, and service needs.
- Determine program eligibility and recommend appropriate service pathways.
- Distribute, collect, and review applications and supporting documentation (e.g., ID, income, work authorization) for completeness and accuracy.
- Provide clear explanations of program services and offerings to applicants and the public.
- Input and maintain accurate client data in case management or program data-base systems.
- Schedule clients for assessments, orientations, workshops, and follow-ups as needed.
- Coordinate with case managers, career counselors, and other staff to support seamless service delivery.
- Provide internal and external referrals for services such as childcare, housing, transportation, and other community resources.
- Assist with ongoing file maintenance, records audits, and documentation review to ensure compliance and data security.
- Protect sensitive information by following confidentiality and privacy regulations; obtain necessary releases of information.
- Monitor and report intake metrics, including enrollments, referrals, and client outcomes.
- Contribute to program planning by providing feedback and assisting with the development of new policies, procedures, and operational goals.
- Maintain up-to-date knowledge of all applicable regulations and tribal, federal, and departmental policies.
- Represent the Workforce Services Program positively in all interactions with clients, staff, and the public.
QUALIFICATIONS:
- Associate degree in human services, general studies, or a related field preferred; high school diploma or GED with four (4) years of relevant experience required.
- Experience in client intake, case management, or workforce development strongly preferred.
- Strong communication skills, both written and verbal; able to interpret and relay complex information clearly.
- Proficient in Microsoft Office and experienced in using databases or case management systems.
- Highly organized, detail-oriented, and capable of managing multiple tasks under pressure.
- Strong decision-making skills with the ability to remain calm in challenging situations.
- Ability to operate office equipment (e.g., copier, fax, printer, phone systems).
- Demonstrated professionalism, cultural sensitivity, and commitment to confidentiality.
- Valid driver’s license and insurability required.
- Must pass a background check, including screening for child abuse and neglect.
REQUIREMENTS:
- Knowledge of federal and tribal regulations, particularly those from the Standing Rock Sioux Tribe, Department of Labor, HHS, and Department of the Interior.
- Understanding of program eligibility criteria and ability to assist with implementation and program development.
- Ability to maintain effective relationships with diverse populations and respond to community inquiries.
- Signed confidentiality agreement with full understanding of legal obligations and penalties for violations.
- Familiarity with Native American cultures and customs is strongly preferred.
- Ability to work independently and contribute to a positive, team-oriented work environment.
