About the Department
We have an exciting opportunity for an Accounting Assistant IV position located at our campus in Temecula, CA.
Under the supervision of the Accounting Supervisor or Director of Budget and Accounting, the Accounting Assistant IV provides a full range of accounting services. The primary duties include accounting, audit, and special project functions for multiple entities of the district e.g., financial aid, bookstore, cafeteria, foundation, student fees, Student Government Association (SGA), construction and deferred maintenance and other categorical program accounts.
CONDITIONS OF EMPLOYMENT
- This position serves District-Wide; applicants may be assigned to any district facility. Work hours and worksite locations are subject to change depending on department needs.
- A six-month probationary period must be successfully completed before the selected candidate is considered a permanent employee of the district.

Position Duties

- Assist in the collection and reconciliation of revenue from a vast multiplicity of sources; perform the reconciliation of cash and investment accounts; oversee the maintenance of permanent files and supporting documentation
- Analyze, verify, and prepare financial statements, reports, and records of expenditures and revenues
- Prepare schedules, verify and substantiate financial data and reports for annual audits; work directly with the District independent auditors
- Prepare, process and audit purchase requisitions and orders in coordination with authorized district purchasing agents
- Process accounts payable and accounts receivable, and perform all related functions
- Perform end of cycle closing processes, functions, and analyses
- Review various financial entries, analyze journal transactions, reconcile bank accounts, audit and authorize cash disbursements, and modify account structures as necessary
- Review and analyze automated processes and systems to ensure maximum efficiency and precise accountability; solve problems and trouble-shoot intricate financial problems; review and communicate necessary financial system modifications for data processing; recommend systems for improvement
- Review and recommend budgetary allotments
- Perform a wide variety of complex account analysis to ensure the credibility of District ledgers and financial statements
- Design, implement, and monitor spreadsheet and database applications
- Monitor special agency and trust accounts and provides assistance to account administrators; file claims with appropriate funding agencies
- Document and maintain district, fund and departmental policies and procedures
- Train and provide direction and guidance to hourly staff assigned to Business Services
- Prepare and evaluate statistical analysis schedules
- Perform routine operational audits

- Operate common office equipment used in financial record-keeping work
- Analyze data and draw logical conclusions and develop correspondence
- Take the lead and become a primary source of reference for assigned areas of responsibility
- Read and write and make arithmetic computations at a level necessary for assigned duties
- Use tact and discretion
- Establish and maintain cooperative and effective working relationships with others, including those from a diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff
Minimum Qualifications
MINIMUM QUALIFICATIONS
- An Associate's degree (attach transcripts); AND
- Nine (9) semester units of college-level, general accounting, business, finance, or equivalent course work; AND
- Two (2) years of professional experience in keeping or reviewing accounting or fiscal records; AND
- Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff
SUBSTITUTIONS
Substitutions for meeting the minimum qualifications of this position are allowed, as follows:
- A Bachelor's degree in Accounting, OR Business Administration with an accounting concentration, OR a Bachelor's degree in a related field OR
- High school diploma or GED AND five (5) years of professional experience in keeping or reviewing accounting or fiscal records

- Professional experience:
- in financial accounting and budgeting in the public sector
- using an integrated relational database
- Demonstrated ability to manage financial resources with a record of fiscal responsibility and accountability
- Prior experience in approaching work and interaction with colleagues and/or customers in an equity-minded manner. Ability to promote an inclusive and welcoming work/education environment.
