The Degree Programmes Department at INSEAD oversees the institution’s world-class academic offerings, including the MBA, Executive MBA, Master in Management, and other specialized degrees. The department is responsible for curriculum development, student support, and program administration, ensuring an exceptional learning experience that aligns with INSEAD’s commitment to developing global leaders. It works closely with faculty, students, and corporate partners to deliver innovative, high-impact education across INSEAD’s global campuses.
INSEAD seeks an Officer, MIM Programme to join our Degree Programmes department. This is a full-time, temporary position based at our Europe Campus in Fontainebleau, France.
A hybrid working model is in place – 3 days on campus, 2 days from home.
About the Job
The post holder oversees all aspects of the Coordination of the MIM class. She/he is the keystone of all the academic and administrative activities, which concern the students from the time that they arrive at INSEAD to their graduation.
Your role within the team
Preparation for the Incoming Intake
- Organise all preparations prior to the students’ arrival on campus, including signage, seating plans, registration, and course enrolment.
- Coordinate the entire Launch Week.
Exemption Exams
- Receive exemption requests.
- Arrange the corresponding exams.
- Obtain faculty decisions.
- Update relevant records.
- Inform students of the outcomes.
Bidding Process
- Plan and launch the bidding process.
- Communicate bidding results to students and faculty.
- Allocate seats in the various electives during add/drop periods.
Examinations and Return of Grades
- Organise examinations at the end of each period.
- Supervise invigilation for each session.
- Collect exam papers, verify identity and completion, and send them to faculty for grading.
- Ensure timely return of grades from faculty.
- Calculate Z-scores using the provided algorithm.
- Enter results into PeopleSoft.
Communication and Records
- Maintain regular communication with students, faculty, and other INSEAD departments.
Graduation Ceremony
- Support logistical arrangements for the Graduation Ceremony, including diploma printing.
- Assist the Dean on stage during diploma distribution.
- Ensure smooth running of the ceremony and cocktail reception.
- Manage academic aspects of graduation, including student follow-up.
The ideal profile
- Higher education degree at BTS, DUT, IUT level or above, with 5 to 8 years of experience in academic coordination, administrative roles, or customer service, ideally in an international or academic environment.
- Excellent personal organisation, with the ability to work under pressure and prioritise conflicting deadlines.
- Ability to take initiative and make quick decisions.
- Strong communication skills, combined with diplomacy and discretion.
- Ability to inform, advise, and support students throughout the academic year, while anticipating potential issues that could affect their ability to graduate on time.
- Fluent in English, both spoken and written.
- Proven experience in client-facing roles, with strong coordination and organisational skills, attention to detail, and a problem-solving mindset.
- Proficient in IT tools, including office software (Excel, Word, Outlook), academic management systems (such as PeopleSoft or equivalent), and collaborative platforms.
