The Norfolk Community Services Board (NCSB) provides treatment, support, and education to the community with a focus on mental illness, substance use disorders, and intellectual/developmental disabilities. Norfolk CSB provides services to persons in acute crisis as well as integrated, person-centered, and recovery-oriented programming for persons needing assistance and support stabilizing in the community.
Today, the NCSB provides treatment and rehabilitation services to over 6,000 Norfolk citizens yearly. The NCSB provides citizens of Norfolk who experience behavioral health and developmental disabilities with quality services that instill hope and recovery. Norfolk CSB's Housing and Homeless Services Division provides homeless outreach, emergency shelter, and supportive housing services to individuals experiencing homelessness in the City of Norfolk.
The NCSB is currently seeking an Administrative Assistant II to serve as the principal administrative support staff for the Housing and Homeless Services Division. Performs complex and responsible administrative work. Responsibilities include answering incoming calls, processing payment vouchers, ordering supplies, providing onsite administrative support both at Central Business Park and The Center (Emergency Shelter), managing petty cash, and other administrative duties.
Position Duties
- Provides administrative support to the Housing and Homeless Services Team, with intensive support to the Programs Managers and Division Head.
- Provides phone support and resource linkage to consumers experiencing homelessness; uses strong interpersonal skills and sound judgment to manage waiting room area.
- Utilizes a phone system to answer incoming calls in a prompt, helpful and knowledgeable manner; appropriate directs calls to meet urgent needs.
- Maintains consumer records and follows established guidelines for: filing and retrieving documents, transferring medical records within the CSB, and storing documents.
- Distributes program, courier, and US mail notices in a timely manner.
- Reviews expenditures for accuracy and conformance with established guidelines/standards.
- Prepares payment vouchers and processes invoices for payments.
- Implements and maintains tracking mechanisms upon request.
- Assists with maintaining resources information, updating Consumer List, and keeping information current and available.
Minimum Qualifications
Two years experience in office administration.
- High School Diploma or equivalent (GED) or supplemented by courses in business administration or related field.
- Three years of experience in office administration.
- Excellent skills in computer applications, especially with Microsoft Office programs
Accurate typing, computations, and tabulations.
Other Qualifications
- Valid Driver's License may be required depending on assignment.
