About the Department

Make a citywide impact, helping families thrive. We’re hiring a Support Services Coordinator to keep Hampton’s School Age Programs running smoothly—through stellar admin support, data integrity, and friendly service to staff and families. You’ll manage day-to-day office operations and the program database, support quality assurance, and ensure accurate reporting that sustains funding and guides continuous improvement. You’ll also be a go-to resource for staff training and family billing support.

What you’ll do:

  • Lead administrative operations for SAP, implementing policies, procedures, and quality assurance.
  • Administer CapturePoint: maintain accounts and billing, create pay periods, generate invoices/statements, process late fees, send past-due notices, and produce reports.
  • Prepare daily treasury and revenue reports for the City Treasurer. Build and maintain program databases; produce monthly statistics and ad-hoc reports for Hampton City Schools.
  • Train Lead Facilitators on dashboards; provide frontline IT support in CapturePoint. Monitor site needs and inventory; procure supplies in line with purchasing rules.
  • Provide backup front-desk/clerical support and data entry as needed. Coordinate presence at community/health fairs and support special events.
  • Ensure compliance with policies, licensing, and FOIA processing.
  • Support staff with processes and follow-through; visit sites for paperwork/supply checks.
Minimum Requirements
  • Requires High school graduation or completion of a GED.
  • Requires a minimum of three (3) years of full-time equivalent experience in office management or in the performance of clerical/technical accounting functions or a closely related field.
  • One (1) year of experience in a local government or non-profit setting performing administrative work is preferred.
  • A bachelor’s degree in human services or business administration is preferred.
  •  Must possess a valid driver’s license and must have and maintain a satisfactory driver’s record based on the City of Hampton’s criteria.
  • Must successfully pass a background check related to the position before any offer of employment or promotion.
  • A combination of education and experience will be considered for this position.
Additional Requirements
  • The incumbent may be considered “essential personnel” during city emergencies, or at the direction of the City Manager or designee, which may include long hours and unusual schedules.
  • Experience in a local government setting and at least one year of full-time equivalent supervisory work experience preferred.
