About the Role

We’re seeking a seasoned Senior Veeva Vault Administrator to lead the configuration, optimization, and support of Veeva Vault modules including CTMS, eTMF, RIM, and PromoMats. This role plays a critical part in ensuring regulatory compliance and operational efficiency across Clinical, Regulatory, and Marketing functions. You’ll also support and enhance third-party and custom-built applications, primarily within Operations.Position

Title: Senior Veeva Vault Administrator
Location: Hybrid – Tampa, FL 33602 (3 days onsite / 2 days remote)
Employment Type: Direct Hire
Compensation: $100,000–$125,000 base salary + ~10% annual bonus


Key Responsibilities

  • Administer and optimize Veeva Vault modules to meet evolving business and regulatory needs.
  • Collaborate with cross-functional teams to identify system requirements and recommend configuration changes.
  • Own Tier 1, 2, and 3 system changes from scope definition through post-production support.
  • Monitor system performance, troubleshoot issues, and implement enhancements.
  • Translate business processes into technical specifications across Clinical, Regulatory, and Marketing.
  • Plan and execute off-hours changes to ensure GxP compliance with minimal disruption.
  • Serve as liaison between business users, IT, and vendors to ensure system alignment.
  • Administer and integrate third-party/custom applications with Veeva Vault.
  • Maintain documentation, develop training materials, and provide ongoing user support.

Qualifications

  • Bachelor’s degree in Information Technology, Life Sciences, or related field.
  • 6+ years of hands-on Veeva administration experience, including CTMS, eTMF, RIM, and PromoMats.
  • Current Veeva certifications required.
  • Strong understanding of business processes and system configuration best practices.
  • Experience with third-party/custom application integration in Operations and Regulatory.
  • Familiarity with GxP or other regulatory frameworks (certifications a plus).
  • Deep knowledge of Veeva platform architecture and system integrations.
  • Proven experience with change management and production environment updates.
  • Ability to support audits and regulatory inspections through data integrity checks.
  • Excellent communication skills—able to translate technical concepts for non-technical stakeholders.
  • Strong analytical and problem-solving skills.
  • Collaborative mindset with experience working across cross-functional teams.
