TITLE: SECRETARY II 

 

 

QUALIFICATIONS:

  1. High school diploma or general education degree (GED) required, associate’s degree in Business Administration preferred.
  2. Minimum of 2-3 years of clerical, secretarial, or office experience
  3. Strong verbal and written communication skills.
  4. High degree of attention to detail.
  5. Working knowledge of general office equipment
  6. Proficient computer skills, including Microsoft Office, excel, google docs
  7. Must meet the requirements of a criminal record check as specified by Kentucky state law



REPORTS TO:  Designated Chief Officer

 

JOB GOAL:  To act as the initial point of contact for all employees, visitors, vendors, phone calls, etc. To perform a wide variety of responsibilities in assisting OPS employees with services, questions, etc. provided by the District and facilitated at Central Office, in particular activities related to supporting the Instruction Department.  To assist in receiving and relaying telephone messages and providing effective customer service to all employees and visitors.

 

CRITICAL SKILLS/EXPERTISE REQUIRED:

 

KNOWLEDGE OF:

 

  1. Modern office practices, procedures and equipment.
  2. District organization, operations, policies and objectives.
  3. Organization, rules, regulations, and programs related to an assigned office or function.
  4. Operation of a computer terminal and data entry techniques.
  5. Software applications used by the District, including word processing and spreadsheets.
  6. Financial and statistical record-keeping techniques.
  7. Basic budget monitoring and control.
  8. Correct English usage, grammar, spelling, punctuation and vocabulary.
  9. Interpersonal skills using tact, patience and courtesy.
  10. Proper techniques in answering the telephone, relaying and replying to messages.

 

ESSENTIAL JOB FUNCTIONS:

 

ABILITY TO:

 

  1. Perform advanced-level secretarial duties requiring independent judgment and analysis.
  2. Plan, organize and coordinate office activities and communications as directed by the Chief Academic Officer.
  3. Work independently with little direction.
  4. Type at an acceptable rate of speed.
  5. Analyze situations accurately and adopt an effective course of action.
  6. Compose independently or from oral instructions, letters, memos, bulletins or other material.
  7. Read, interpret, apply and explain rules, regulations, policies and procedures.
  8. Maintain records and prepare reports.
  9. Communicate effectively both orally and in writing.
  10. Meet schedules and timelines.
  11. Add, subtract, multiply and divide quickly and accurately.
  12. Establish and maintain cooperative and effective working relationships with others.
  13. Maintain good public relations with students, parents, employees, and the general public.
  14. Appropriately communicate information concerning school policies, procedures, actions, activities, and schedules.
  15. Access, distribute, and retain student transcripts and other records per Board Policy.
  16. Assist with Infinite Campus and other Instructional-based processes as directed by the Chief Academic Officer.
  17. Acts in accordance with the by-laws and policies as set forth by the Owensboro Board of Education, KRS and KAR, and applicable Federal laws and regulations.
  18. Demonstrates loyalty and dedication to the purposes and goals of the Owensboro Public Schools.
  19. Other duties as may be assigned by the immediate supervisor.

  4. 240 days per year

 

WORK ENVIRONMENT:

   

Indoor, environmentally controlled.  Typical school/office environment including but not limited to telephones, personal interruptions, background noises.  Requires working with or near the public, parents, and children and will be subject to sounds, scents, and other related environmental factors.  This position will require dealing with conflict and requires use of sound judgment. 

 

Physical Demands: (example)

   

  1. Must be able to kneel and squat
  2. Must be able to bend at the waist, twist, and turn 
  3. Standing and walking intermittently throughout a typical work day
  4. Lifting-up 20 lbs.
  5. Sitting for long periods of time
  6. Repetitive movement

 

Travel Requirements: (Frequency and Duration)

  1. Less than 10% out of district
  2. Daily as needed within district boundaries



EVALUATION:

 

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of classified personnel.  Evaluation will be conducted by the District Supervisor and/or principal.
